Job Description
Position Summary
The Payroll and Accounts Payable Specialist is responsible for accurately processing payroll and managing the full accounts payable cycle. This role ensures employees and vendors are paid timely and in compliance with company policies and applicable regulations. The ideal candidate is detail-oriented, highly organized, and capable of handling confidential financial information with integrity.
Key Responsibilities
Payroll
· Process bi-weekly payroll for all employees, ensuring accuracy and timeliness
· Maintain employee payroll records, including new hires, terminations, wage changes, and benefits deductions
· Ensure compliance with federal, state, and local payroll laws and regulations
Accounts Payable
· Process vendor invoices accurately and timely, ensuring proper approvals and coding
· Reconcile vendor statements and resolve billing discrepancies
· Maintain vendor files and handle vendor inquiries professionally
· Ensure compliance with company purchasing and approval policies
· Assist with 1099 preparation and reporting
Accounting & Administrative Support
· Support internal and external audits by providing requested documentation
· Maintain organized electronic and paper records in accordance with retention policies
· Identify opportunities to improve payroll and AP processes and internal controls
· Any other duties as assigned
Requirements:Qualifications
· Associates degree
· Two - five years related experience in accounts payable and payroll (prefer in house payroll processing)
· Proficiency in Microsoft Office and Excel
· Excellent attention to detail
· Extremely strong communication skills using spoken and written words.
· Solid understanding of payroll and payroll tax laws.
· Able to maintain confidential information

Physical Requirements
Sitting in a normal seated position for extended periods of time by extending hand(s) or arm(s) in any direction. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard, able to lift and carry items up to 10 pounds. The ability to multi-task and complete tasks in an accurate and timely manner.
