Contract Licensing & Registration Specialist

As our Contract, Licensing & Registration (CLR) Specialist, you will play a critical role in transforming a candidate's excitement into confidence, productivity, and long-term success. You will serve as the bridge between recruiting and development, guiding new Financial Representatives, Associate Financial Representatives, and team members through every step of onboarding, licensing, contracting, and integration into the firm.

Position Purpose
The CLR Specialist owns and coordinates the onboarding experience from offer acceptance through successful completion of licensing, training, contracting, and early career milestones.

This individual serves as a trusted guide, ensuring every individual joining our firm receives consistent, welcoming, and highly organized experience while maintaining compliance with all regulatory, licensing, and registration requirements.

By combining operational precision with a people-first approach, the CLR Specialist helps accelerate readiness, confidence, and engagement.

Key Responsibilities
  • Deliver an Exceptional Candidate Experience
  • Serve as the primary point of contact for new representatives from acceptance through onboarding.
  • Create a welcoming, professional, and engaging experience that reflects Northwestern Mutual Denver's culture and values.
  • Proactively communicate expectations, timelines, milestones, and next steps.
  • Build positive relationships that foster confidence and connection from day one.
Guide Candidates Through Licensing & Registration
  • Support candidates throughout the insurance and securities licensing process.
  • Monitor licensing progress and proactively remove barriers to completion.
  • Coordinate examination scheduling, registration requirements, fingerprints, and background screening activities.
  • Facilitate non-resident licensing and state registration requirements.
  • Track progress against onboarding milestones and licensing timelines
Manage Contracting & Compliance Processes
  • Utilize Northwestern Mutual Home Office systems to administer contracting, licensing, registration, and contract changes.
  • Process onboarding, transfers, status changes, and terminations accurately and timely.
  • Maintain current records and documentation while ensuring regulatory compliance.
  • Track ongoing education, registration, and continuing education requirements.
Partner Across the Organization
  • Collaborate with recruiting, training, leadership, compliance, and home office teams.
  • Serve as a liaison between Northwestern Mutual Denver, Home Office partners, licensing agencies, and regulatory entities.
  • Support onboarding reporting, metrics, and process improvements.
  • Identify opportunities to continuously elevate the new representative experience.
What Success Looks Like
  • New members feel informed, supported, and excited throughout onboarding.
  • Licensing and contracting milestones are completed accurately and on schedule.
  • Candidates experience a seamless transition from recruiting to training.
  • Managers and leaders can easily monitor onboarding progress and readiness.
  • Compliance requirements are consistently met with precision and accuracy.
  • All new to our firm are positioned to begin their careers quickly and confidently.
Preferred Qualifications
  • 1+ years of professional administrative, operations, onboarding, HR, recruiting, training coordination, or customer service experience.
  • Exceptional organizational and project coordination skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Proficiency with Microsoft Office and web-based systems.
