Court Reporter Recruiting Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Court Reporter Recruiting Coordinator based in the United States.

This is a high-impact recruiting opportunity focused on expanding and strengthening a nationwide network of court reporting professionals.
You will be responsible for connecting with prospective court reporters and guiding them from initial outreach through recruitment and onboarding support.
Your work will directly influence the availability and quality of professionals supporting law firms and legal proceedings across multiple markets.
The role combines high-volume outreach, relationship building, organization, follow-through, and operational coordination.
You will work closely with internal teams while managing a busy pipeline and ensuring prospective reporters receive a responsive, professional experience.
This remote-first position offers meaningful ownership within a small, collaborative team where your contributions are visible and measurable.

Accountabilities
  • Execute outreach to prospective court reporters identified by leadership through phone calls, text messages, and email.
  • Move prospective reporters efficiently through the recruitment process, from initial contact through becoming an active network partner.
  • Serve as a responsive point of contact for prospective court reporters, answering questions and providing timely information throughout the recruitment process.
  • Conduct consistent follow-up with prospects who have not responded, maintaining professional, warm, and persistent communication.
  • Support onboarding activities and help ensure newly recruited reporters have a smooth transition into the network.
  • Accurately record outreach activity, prospect status, and relevant information in CRM and support platforms such as HubSpot and Zendesk.
  • Maintain clean, accurate, and up-to-date reporter records and ensure no promising prospect falls through the cracks.
  • Collaborate with internal teams to create a seamless experience from recruitment through active assignment.
  • Support virtual and in-person recruiting and industry events designed to increase awareness and engagement among court reporters.
  • Assist with event coordination and relationship-building activities as needed.
  • Stay informed about court reporting industry trends and recruiting best practices to support high-quality service and outreach.
  • Help strengthen the overall reach, quality, and responsiveness of the nationwide reporter network through consistent execution and follow-through.
Requirements
  • 3+ years of experience in high-volume recruiting, talent acquisition, business development, or professional outreach, ideally within a contractor, freelance, or distributed workforce environment.
  • Experience as a court reporter or within the legal services industry is a strong plus.
  • Confident and personable communication style, with the ability to engage professionals effectively by phone, text, and email.
  • Demonstrated persistence and strong follow-up skills while maintaining a warm, professional, and candidate-focused approach.
  • Proficiency with CRM and customer management tools; experience with HubSpot and Zendesk is highly desirable.
  • Strong attention to detail and commitment to maintaining accurate, organized, and current records.
  • Experience executing recruiting or outreach initiatives across multiple regions, markets, or professional communities.
  • Excellent organization and time-management skills, with the ability to manage multiple prospects, priorities, and deadlines simultaneously.
  • Comfortable working in a fast-paced, remote environment where reliable execution and follow-through are essential.
  • Collaborative team player who takes initiative and approaches challenges with a proactive, practical, and solution-oriented mindset.
  • Ability to work independently while following established recruiting strategies and processes.
  • Willingness and ability to travel approximately 3–4 times per year for events, recruiting activities, and relationship-building opportunities.
  • Preference may be given to candidates located in the Pacific or Mountain Time Zones, particularly California.
