About the Role:

The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of the office by providing comprehensive administrative support to management and staff. The role requires maintaining accurate records and managing multi-line phone systems to facilitate effective communication within and outside the organization. The Administrative Assistant acts as a key point of contact, supporting various departments by performing general clerical duties and managing office supplies and documentation. Ultimately, this position contributes to the overall productivity and organization of the workplace by anticipating needs and proactively addressing administrative challenges.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Proven experience in an administrative or office support role, demonstrating proficiency in calendar management and travel coordination.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with multi-line phone systems.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience working in a fast-paced corporate or professional environment.
  • Familiarity with records management systems and office management software.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Additional language skills or experience supporting senior executives.

Responsibilities:

  • Manage and maintain executive and team calendars, scheduling appointments and coordinating meetings to ensure optimal time management.
  • Arrange domestic and international travel plans, including booking flights, accommodations, and transportation, while preparing detailed itineraries.
  • Operate multi-line phone systems to direct calls, take messages, and provide information to internal and external stakeholders.
  • Perform general clerical duties such as filing, data entry, preparing correspondence, and maintaining organized records and documentation.
  • Coordinate office activities and meetings, including preparing agendas, taking minutes, and ensuring all necessary materials are available.

Skills:

General clerical skills and records management are used daily to keep the office organized and ensure that important documents are accessible and up to date. Answering calls, preparing transponders and gate passes, strong interpersonal skills and the ability to multitask effectively under pressure. Preferred skills like discretion, problem-solving, and familiarity with office software enhance the ability to support executives and teams more efficiently, contributing to a well-coordinated and productive work environment.
