COORDINATOR, SHIPPING & RECEIVING
Reports to: Warehouse Supervisor
FLSA Status: Non-Exempt
SUMMARY
The Coordinator, Shipping & Receiving assists in the completion of essential job functions, scheduling and coordinating warehouse workflow, maintaining real time data in computer system of ALL inventory transactions, including incoming and outbound shipments of products. This position is responsible for maintaining a safe workplace, freight scheduling, and inventory requests.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Process all inbound and outbound paperwork to ensure real time data in computer system for all transactions including but not limited to shipping, billing, receiving.
- Serve as primary contact for all inventory related questions including movement, spoilage, shortages, inventory adjustments, and obsolete items.
- Manage weekly inventory cycle counts and work with Accounting Department to research and resolve all discrepancies.
- Maintain inventory control procedures throughout the warehouse.
- Maintain Warehouse Management module.
- Manage customer returns.
- Repair broken pallets or build pallets to ship out equipment.
- Read Safety book for stapler and use of PPE.
- Assist in handling all inbound phone traffic.
- Process all inbound/outbound paperwork.
- Process and add shipping cost to inbound POs.
- Coordinate all outbound UPS & Fed Ex shipments and follow up on missing daily paperwork.
- Check in/out drivers delivering or picking up loads.
- Direct all drivers to dock doors with instructions on proper pick-up &/or delivery protocol.
- Handle all incoming/outgoing small packages and notify the recipient/employee of their package.
- Process all inventory requests for demos; pick the product and prepare overnight shipments for field staff.
- Handle all will call orders and customer pick-ups.
- Handle all small ware orders and shipping.
- Always keep an adequate supply of shipping materials on hand.
- Assist Warehouse with LTL freight scheduling.
- Update Inbound Load Board as needed.
- Assist with outbound equipment orders when needed.
- Maintain product food safety to meet and exceed the standards.
- Complete yearly HACCP, Allergen Management, Food Defense, and Food Fraud training.
- Adhere to the SQF code guidelines.
- set by the company and its customers through Good Distribution Practices and company policies.
- arrange for cover in his/her absence. Deputy is Shipping and Receiving Coordinator.
- Use pallet jack and/or forklift to unload trucks when needed.
- Load/unload trailers, store and pull product, verify Lot codes/Serial Numbers before receiving product and equipment.
- Perform all other duties as assigned.
QUALIFICATIONS

- Minimum of a high school education and 2 years of factory or distribution center related experience in shipping and receiving
- Previous experience with automated Warehouse Management systems integrated with ERP legacy computer system
- Must have experience in Microsoft Office Suite
- Customer Relationship Management (CRM) software experience preferred
- Previous experience leading Continuous Improvement projects
- Required to read and write English, follow verbal instructions, and use simple math
- Able to interpret packing slips, enter accurate data knowledge receipt of the goods into the purchase order and processing database
- Capable of estimating weight, and use that information to calculate the cost of shipping
- Familiar with proper packaging methods and able to interpret visual aids used to convey specific packaging requirements
- Familiar with the most common material handling equipment and be a licensed forklift truck operator
- Ability to effectively execute independent judgment and decision making
- Experience with UPS/FEDEX online software preferred
- Equipment operation certification (e.g., forklift), where applicable
- Ability to work independently and as part of a team
WORKING CONDITIONS
- Employee will work in varying warehouse conditions, including dry, refrigerated, or freezer environments, with exposure to temperature changes from warehouse to freezer (-10 to 40 degrees), noise, dust, and moving machinery
- Fast-paced, food-grade warehouse environment
- Interaction with moving equipment and machinery
- Early morning, extended shifts, weekends, and overtime may be required based on business needs

- Ability to stand and walk for extended periods throughout the work shift
- Frequent bending, stooping, kneeling, crouching, twisting, and reaching
- Regular lifting, carrying, pushing, and pulling of products weighing up to 50 pounds independently or lift 75 pounds with team member.
- Repetitive use of hands and arms for handling cases, scanning product, palletizing, and labeling as well as packing, counting, and staging product
- Ability to climb ladders or step platforms and work at varying heights
- Visual acuity required to read labels, lot codes, expiration dates, and GS1-128 barcodes
- Ability to hear and respond to verbal instructions and safety alerts
- Ability to follow written and verbal instructions
- Must be able to speak to, hear, and understand others in person and by phone in English
- Must be able to handle paperwork and use computer systems
