Reports to (title): Manager of Clinic Departments

Position Summary:
Assist Physicians in treating patients in a professional, efficient manner. Responsible and accountable for compliance with regulations mandated by governmental agencies as well as Policies and Procedures established by the Board of Directors of SMSC.

45% Patient Care
Call patients to exam room; perform various vision and diagnostic tests as needed. Reconcile medications confirming all allergies; update any history changes as necessary and take vital signs if needed and record in EHR. Set up for any procedure scheduled or as requested by doctor; have patient prepared for doctor to see. Take care of patient needs or requests in a timely manner including but not limited to referrals, insurance forms and specialist appointments. Assist patients with glasses, dispensing, adjusting and repairing glasses. Schedule surgery; surgery scheduling THR Stephenville will be done on line. Remain professional, polite, and considerate of the patients needs 100% of the time.
15% Assist Physician
Perform screening or test as instructed by physician. Facilitate with the Physicians work. Prepare room/tray for any clinic procedure and assist doctor.
15% Charting/Documentation
Record all patient contact and vital signs on patient chart in EHR. If the patient does not see the doctor, but has contact with ophthalmology aide, it must be charted in EHR. This includes lab or x-ray only; lab reported to patient any diagnostic testing, etc. Any papers to be scanned to EHR must have patient’s name and date of birth on each page before sending to medical records. Make sure consult letters, consent letters, and diabetic letters are faxed and/or mailed to patient. Upload any photos to appropriate patients chart, then delete photos from camera. Camera must be kept in a secure location
10% Task
Responsible for seeing that all messages are answered on a timely basis and making sure doctor follows up on all messages. Routine messages include nursing home messages, home health messages, and patient messages.
5% Insurance/Collection
Prepare and file insurance forms in a timely manner. Send out statements for optical shop in a timely manner.
5% Cleaning
Work station must be kept clean and orderly. Rooms must be cleaned after each patient. Treatment rooms must be cleaned & disinfected daily. Instruments must be cleaned daily, packaged and autoclaved the following day. All cleaning of exam rooms, treatment rooms, instruments must be done in compliance with clinic policies on cleaning, sterilization and OSHA standards for blood borne pathogens. Drug cabinets must be clean, organized and checked weekly. Check expiration date on all drops once a month. Compliance 100% of the time mandatory.
5% Customer Service/other duties assigned
100% of the time -Responsible for treating others politely and with respect. Must always remain professional, polite and considerate of patient needs. Must have the ability to listen and respond concisely, yet accurately to questions asked. Responsible for problem solving and not letting patient expectations go unmet. Demonstrate a desire to be responsive, make others feel welcome and that you are eager to help them. Get along well with patients, providers and co-workers.
I/9: Access to email, web surfing, work order tracking system and interoffice instant messaging. Limited access to patient insurance and financial data. Full access to all medical data specified as pertinent to job duties. Ability to add information, edit or delete within an unlocked encounter in limited areas of patient electronic health record. No ability to modify or delete data entered by another user. May have access to view and print patient data in Orchard Harvest and PACS, as provided by Lab/Xray department managers, as needed for job function. (Clinical Dept Mgr, Admin Asst to Clinical Dept Mgr, Back Offc/Clinical Staff, PR/Mktg/Compliance, Administrative Coordinator, Scribes)

Requirements:Position Qualifications:
- High School Diploma or equivalent
- Ability to perform job duties in a stressful environment and maintain professional demeanor
- Good communication skills with ability to interact with a diverse patient base
- Bilingual in Spanish a plus
- Ability to maintain regular attendance and meet the attendance requirements of the job
- Ability to think rationally and reason logically
- Ability to maintain absolute confidentiality
- Physically able to lift 50 pounds
- Physically able to stand for prolonged periods of time, up to eight hours a day
- Knowledge of technology based systems
- Ability to demonstrate clinical competency
