Position Summary
The Employee Experience Coordinator is responsible for coordinating and executing employee engagement programs, recognition initiatives, wellness activities, professional development events, and organizational celebrations that enhance the overall employee experience. This position provides operational and administrative support to the Employee Experience & Engagement Specialist while serving as a visible ambassador of the Human Resources department and the organization's culture.
Working collaboratively with leaders throughout the organization, the Employee Experience Coordinator ensures employee programs and events are executed with excellence by managing logistics, communications, vendor relationships, scheduling, purchasing, and day-to-day program administration. This role plays a key part in creating a positive, engaging, and rewarding workplace where employees feel valued, connected, and supported.

Position Summary

How You’ll Make an Impact
Employee Engagement Support
- Assist in coordinating and implementing employee engagement initiatives designed to strengthen organizational culture and improve employee satisfaction.
- Support the execution of employee appreciation programs, recognition initiatives, engagement campaigns, and retention activities.
- Help coordinate departmental participation in organization-wide engagement events and celebrations.
- Promote employee involvement in organizational programs through creative communication and outreach.
Employee Recognition
- Coordinate day-to-day administration of employee recognition programs.
- Prepare certificates, awards, plaques, gift cards, and recognition materials.
- Maintain employee milestone calendars for birthdays, anniversaries, promotions, retirements, and service awards.
- Coordinates Above & Beyond, peer recognition programs, and employee spotlight initiatives.
- Assist with planning and execution of employee recognition ceremonies.
Employee Events
- Coordinates all logistics for employee events, including scheduling, room reservations, catering, decorations, audiovisual equipment, vendor coordination, setup, and breakdown.
- Assist in planning Wellness Week, Employee Appreciation Week, holiday celebrations, employee appreciation events, benefits fairs, wellness events, volunteer activities, and leadership forums.
- Prepare event materials, registration lists, signage, promotional items, giveaways, and attendee communications.
- Attend organizational events to provide onsite coordination and ensure successful execution.
- Coordinate registration and logistics for Lunch & Learn sessions, workshops, educational seminars, leadership development activities, and professional development events.
- Prepare educational materials, handouts, name badges, evaluations, and attendance records.
- Coordinate guest speakers, presenters, vendors, and meeting logistics.
- Maintain employee participation records for professional development initiatives.
Wellness Programming
- Coordinate employee wellness challenges, awareness campaigns, health screenings, educational programs, and wellness events.
- Assist with promoting wellness benefits and Employee Assistance Program resources.
- Coordinate wellness incentive programs and participation tracking.
- Work with vendors and community partners to organize health and wellness activities.
Internal Communications
- Assist in creating newsletters, employee announcements, flyers, digital signage, bulletin board displays, and promotional materials.
- Coordinate employee spotlight features, recognition announcements, and success stories.
- Maintain employee communication calendars.
- Update engagement bulletin boards and employee communication displays throughout the organization.
- Assist in managing content for internal communication platforms.
Program Administration
- Maintain the annual employee engagement calendar.
- Track event registrations, attendance, participation metrics, and program outcomes.
- Maintain engagement databases, employee participation records, and recognition records.
- Assist in preparing reports and dashboards summarizing employee participation and engagement metrics.
- Coordinate purchasing requests and maintain inventory of employee appreciation items, awards, promotional products, and event supplies.
Vendor & Budget Coordination
- Coordinate vendors for employee events and engagement initiatives.
- Obtain quotes, prepare purchase requests, and track invoices.
- Monitor engagement program budgets and maintain expense records.
- Maintain relationships with community organizations, event vendors, and promotional suppliers.
Community & Volunteer Engagement
- Coordinate employee volunteer opportunities and community outreach activities.
- Maintain relationships with nonprofit organizations and community partners.
- Promote volunteer events and employee participation.
- Assist with community service initiatives that support organizational values.
General Support
- Serve as a friendly and approachable resource for employees regarding engagement activities, events, wellness programs, and recognition opportunities.
- Collaborate with Human Resources, Marketing, Clinical Education, Foundation, Volunteer Services, and department leaders on employee experience initiatives.
- Assist with special projects that enhance employee engagement and organizational culture.
- Maintain confidentiality of employee and organizational information.
- Perform other related duties as assigned.
What You’ll Bring
- Associate's degree required; Bachelor's degree in Human Resources, Communications, Business Administration, Marketing, Event Management, Hospitality, Organizational Leadership, or a related field preferred.
- Two (2) or more years of experience in event coordination, employee engagement, communications, hospitality, customer service, human resources, marketing, or program coordination.
- Experience coordinating organizational events, meetings, or employee programs preferred.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Experience using Canva or similar graphic design software preferred.
- Experience with survey platforms, social media, or employee communications preferred.
- Ability to manage multiple priorities while maintaining professionalism and accuracy.
