Job Description

Are you at your best when customers need a quick, accurate answer and a shipment needs careful follow-through? As a Customer Service Representative with Rubberworx, you’ll help industrial customers keep their operations moving. From product questions and quotes to order fulfillment, freight coordination, and issue resolution.

This role works closely with customers, sales, purchasing, warehouse, operations, suppliers, and carriers. Experience in industrial hose, rubber products, fluid conveyance, or a related distribution business will help you get up to speed quickly.

What you’ll do

  • Process customer orders, inventory receipts, and cycle counts accurately in ERP and other business systems.
  • Respond to questions about products, pricing, availability, order status, and delivery schedules.
  • Prepare quotes and help customers identify suitable products, using technical specifications and catalogs as needed.
  • Track open orders and proactively update customers about delays, backorders, and changing delivery dates.
  • Coordinate order fulfillment with sales, purchasing, warehouse, and operations teams.
  • Monitor overseas containers, including vessel ETA changes, port arrivals, and customs release status.
  • Enter vessel and container details in the ERP system to support landed-cost calculations and inventory receiving.
  • Work with suppliers, freight brokers, and LTL and truckload carriers to request freight quotes, arrange pickups, trace shipments, and address transit delays.
  • Resolve customer concerns, returns, credits, and warranty issues promptly and professionally.
  • Maintain accurate customer, account, pricing, and order documentation.
  • Support inside and outside sales with quotations, order documents, and customer reports.
  • Help customers with inventory questions, product sourcing, and alternatives when an item is unavailable.
  • Build strong customer relationships and contribute to service goals for responsiveness, accuracy, and satisfaction.
  • Follow company procedures and safety standards, including in warehouse or manufacturing areas.

What you’ll bring

  • Customer service experience in industrial distribution, manufacturing, or a related business.
  • Experience with industrial hose, rubber products, fittings, fluid conveyance, or similar product lines is especially relevant.
  • Strong communication skills and a responsive, helpful approach to customer questions.
  • Familiarity with order-to-cash processes, inventory, and supply chain coordination.
  • Experience preparing quotes and working with pricing structures or contract accounts.
  • Comfort using ERP or business systems and common computer applications.
  • Ability to read basic product specifications and catalogs.
  • A detail-oriented, proactive approach to solving problems and improving processes.
  • Ability to work independently while collaborating effectively across teams.

Work environment and physical requirements

  • Prolonged periods of sitting and working at a computer.
  • Frequent communication by phone, email, and video conference.
  • Ability to navigate warehouse and/or manufacturing areas.
  • Ability to move materials within the warehouse.
