Job Description
NAHB is seeking an experienced Executive Assistant to support the Executive Office. Reporting to the Chief of Staff, this role provides high-level administrative and operational support to the Chief Executive Officer (CEO), Chief of Staff, and senior volunteer leadership.
Responsibilities include managing executive calendars, coordinating meetings and travel, supporting leadership events, preparing briefing materials, and overseeing scheduling and logistics for five elected Senior Officers. The ideal candidate will have 10+ years of experience supporting senior executives in a fast-paced environment and demonstrate exceptional professionalism, organization, discretion, and judgment. This position follows NAHB’s hybrid work schedule, with employees working in person three days per week and remotely two days per week.
Key Responsibilities
- Provide high-level administrative and operational support to the Executive Office and CEO, including calendar management, meeting coordination, travel arrangements, expense reporting, and executive communications.
- Coordinate scheduling, travel, and logistics for five elected Senior Officers and support leadership activities across the Federation.
- Plan and support leadership meetings, conferences, and governance events, including meeting materials, logistics, and on-site coordination.
- Manage and maintain the association-wide leadership calendar to ensure alignment across executive leadership priorities, meetings, and events.
- Support day-to-day Executive Office operations, including coordination of monthly All Staff Meetings, tracking action items, and supporting special projects and internal initiatives.
- Provide administrative support to advance the association’s strategic initiatives and organizational goals.
- Help ensure the smooth functioning of Executive Office processes by maintaining organization, improving coordination, and supporting operational efficiency.
- Serve as a trusted point of coordination for internal and external stakeholders while handling sensitive and confidential matters with professionalism and discretion.
Qualifications
- Bachelor’s degree preferred.
- Minimum of 10 years of experience supporting senior executives or C-suite leadership.
- Experience working in an executive office, association, nonprofit, or similarly complex organization strongly preferred.
- Exceptional organizational, communication, and time management skills.
- Ability to manage multiple priorities and competing deadlines with professionalism and composure.
- Demonstrated ability to exercise discretion and maintain confidentiality.
- Strong executive presence and interpersonal skills.
- Advanced proficiency with Microsoft Office Suite and calendar management tools.
- Ability to work independently while collaborating effectively across teams and leadership groups.
- Willingness to travel occasionally to support national leadership meetings and conferences.
