Job Description

Description:

The Senior Analyst – Coupa is the senior technical and functional owner of Forgent Power’s Coupa procure-to-pay platform. Reporting to the VP, Head of Enterprise Applications, this role sets direction for how the platform evolves, leads configuration, security, and release management, owns its integrations with the ERP and related applications, and partners closely with Finance and Procurement, the business owners of the procure-to-pay process, to drive efficiency, data integrity, and compliance from requisition through payment.

The ideal candidate brings deep Coupa expertise and a strong command of procure-to-pay operations, works independently with minimal direction, and acts as the trusted advisor between IT, business process owners, and suppliers. As Forgent Power continues to grow across its sites, this role will lead the scaling of Coupa to support new locations, higher transaction volumes, and increasingly mature spend controls.

KEY RESPONSIBILITIES

Platform Strategy & Roadmap

? Own the Coupa platform roadmap in partnership with Finance and Procurement leadership, prioritizing enhancements, new modules, and adoption initiatives against business value.

? Serve as the primary technical contact with Coupa, managing the customer success relationship, support escalations, and evaluation of new capabilities.

? Establish and enforce platform governance standards, including configuration principles, change intake, and prioritization of requests.

? Lead Coupa-related projects end to end, including module rollouts, site and acquisition onboarding, and process redesign, from requirements through testing, deployment, and hypercare.

Platform Administration & Configuration

? Serve as the lead system administrator for Coupa, owning user provisioning, role and permission assignments, approval chains, and access reviews.

? Configure and maintain business rules, approval workflows, chart-of-accounts strings, lookups, custom fields, forms, and notification settings in alignment with Finance policy.

? Independently manage Coupa release cycles and configuration changes through IT change management: review release notes, assess impact, plan and lead testing in the test instance, obtain business sign-off, and communicate changes before deployment.

? Manage single sign-on, user lifecycle provisioning, and security settings in coordination with IT security and identity teams.

? Maintain system documentation, including configuration logs, workflow maps, and standard operating procedures.

Procure-to-Pay Operations Support

? Act as the senior escalation point for Coupa issues across requisitions, purchase orders, receiving, invoicing, and expenses; manage tickets through the IT service management platform and triage, resolve, or escalate to Coupa Support as appropriate.

? Monitor invoice exceptions, failed integrations, and stuck approvals; work with AP, Procurement, and requesters to clear backlogs and protect payment timeliness.

? Partner with AP and Procurement as business process owners to gather requirements, identify process gaps, and translate them into configuration or workflow changes that reduce manual touches and cycle time.

Supplier Enablement & Data Management

? Lead supplier enablement onto the Coupa Supplier Portal (CSP) and supplier-actionable notifications, driving adoption of electronic PO and invoice transmission.

? Maintain supplier, catalog, and master data quality in partnership with Vendor Master and Procurement teams, including punch-out and hosted catalog setup.

? Support supplier onboarding workflows, including information collection forms, tax and banking documentation routing, and risk-related approvals.

Integrations & ERP Alignment

? Own the monitoring and support of integrations between Coupa and the ERP and related systems (e.g., vendor master, chart of accounts, PO and invoice export, payment status), including error queues and scheduled jobs.

? Troubleshoot data flow errors with integration developers and ERP administrators, perform root-cause analysis, and validate fixes before closing incidents.

? Participate in system enhancements, module rollouts, and acquisitions or site integrations as Forgent Power scales.

Reporting, Analytics & Controls

? Build and maintain Coupa reports and dashboards covering spend, PO compliance, invoice cycle time, exception rates, and supplier enablement metrics.

? Deliver recurring and ad hoc analysis to Finance, Procurement, and operational leaders to inform spend decisions and process improvement.

? Support IT general controls and audit requirements, including segregation of duties, approval limit enforcement, user access reviews, change management evidence, and audit requests.

Training & Change Management

? Develop and deliver training, job aids, and quick-reference guides for requesters, approvers, receivers, and AP users across all Forgent Power sites.

? Mentor junior analysts, super-users, and site champions, building Coupa knowledge and support capability across the organization.

? Onboard new users and sites, and serve as a visible champion for Coupa adoption and policy compliance across the organization.

Requirements:

REQUIRED QUALIFICATIONS

? Bachelor’s degree in Information Systems, Computer Science, Finance, Supply Chain, or a related field, or equivalent practical experience.

? 5+ years of hands-on experience administering or supporting enterprise procure-to-pay platforms, including at least 3 years as a Coupa administrator or analyst.

? Demonstrated experience leading system implementations, module rollouts, or major enhancement projects from requirements through deployment.

? Working knowledge of end-to-end procure-to-pay processes, including requisitioning, purchasing, receiving, three-way match, and invoice processing.

? Advanced experience configuring approval chains, user roles, business rules, and integrations in Coupa.

? Strong proficiency in Excel (lookups, pivot tables, data cleansing) and experience building system reports.

? Strong written and verbal communication skills, with the ability to influence stakeholders and translate system behavior into plain language for non-technical users and leaders.

PREFERRED QUALIFICATIONS

? Coupa Admin certification (e.g., Coupa Certified Admin) or completion of Coupa University administrator coursework.

? Experience in a manufacturing or industrial environment with direct and indirect spend.

? Exposure to ERP integrations (e.g., Oracle, SAP, Microsoft Dynamics, or Epicor) and integration monitoring tools.

? Experience with Coupa Supplier Portal enablement, catalogs/punch-outs, Coupa Pay, or Expenses modules.

? Experience supporting SOX or IT general controls environments and audit requests.

? Experience with IT service management tools such as ServiceNow and with formal change management processes.

? Familiarity with integration patterns and tools, such as APIs, SFTP file transfers, or middleware platforms.

? Familiarity with BI tools such as Power BI.

CORE COMPETENCIES

? Systems Ownership: Takes accountability for platform health and data integrity; anticipates issues rather than reacting to them.

? Strategic Thinking: Connects platform decisions to business outcomes and builds a roadmap that scales with the company.

? Influence & Leadership: Leads through expertise, guides stakeholders to sound decisions, and develops the capability of others.

? Analytical Problem-Solving: Diagnoses root causes across process, configuration, and data, and recommends durable fixes.

? Customer Focus: Balances responsive user support with adherence to policy and control requirements.

? Collaboration: Works effectively with Finance and Procurement process owners, IT peers, Operations, and external suppliers.

? Continuous Improvement: Identifies opportunities to simplify workflows, increase automation, and improve adoption.

WORKING CONDITIONS

Primarily office-based work with extended periods of computer use. Periodic travel among Forgent Power locations, including Columbus, OH; Vernon, CA; and Dayton, MN, may be required to support training, rollouts, or process reviews. Some after-hours availability may be needed during system releases, month-end close, or critical issue resolution.
