Position Overview:

The Business Coordinator plays a critical operational and compliance role within Spectra Gutter Systems’ manufacturing environment. This role is responsible for managing end-to-end order flow, ensuring accurate and timely invoicing, and maintaining compliance across all retail partners. The Business Coordinator directly supports revenue flow and margin protection by reducing fines and chargebacks, improving order and invoice accuracy, and driving operational efficiency through disciplined execution and cross-functional coordination.

Serving as a key liaison between Manufacturing, Supply Chain, Finance, Sales, and external retail partners, this position ensures that orders, EDI transactions, and retailer requirements are executed accurately, consistently, and in alignment with Spectra’s operational and compliance standards. The role requires a highly analytical, detail-oriented professional with strong ERP/SAP, EDI, and retailer portal experience who can effectively manage complexity, deadlines, and competing priorities in a fast-paced manufacturing environment.

Key Responsibilities

Order, Invoice & Data Coordination

  • Coordinate end-to-end order processing from manufacturing release through shipment and invoicing.
  • Ensure on-time, accurate order entry, invoicing, and documentation within ERP/SAP systems.
  • Identify and resolve discrepancies related to pricing, quantities, ship dates, and invoice errors.
  • Serve as the primary point of contact for order status inquiries and issue resolution.

Retailer Compliance & Chargeback Management

  • Manage retailer compliance requirements across platforms including CommerceHub, SupplierHub, and Lowe’s Vendor Portal (Lowes.com).
  • Monitor compliance dashboards and retailer scorecards to identify risks, trends, and performance gaps.
  • Investigate, dispute, and resolve retailer fines, chargebacks, and deductions in partnership with Finance and Supply Chain.
  • Implement corrective actions to prevent repeat compliance issues.

EDI, ERP & Systems Management

  • Support daily operations involving EDI transactions (purchase orders, acknowledgements, ASNs, invoices).
  • Ensure accurate data flow between ERP/SAP, EDI platforms, and retailer systems.
  • Partner with IT, Supply Chain, and Finance to troubleshoot system issues and support testing or enhancements.
  • Maintain strong working knowledge of E21 (strongly preferred).

Cross-Functional Coordination

  • Collaborate with Manufacturing, Shipping, Supply Chain, Sales, and Finance to align execution with customer and retailer requirements.
  • Proactively communicate risks related to delays, data inaccuracies, or compliance issues.
  • Support centralized services and standard operating procedures across manufacturing operations.

Reporting & Continuous Improvement

  • Track, analyze, and report key performance indicators related to order accuracy, invoicing, chargebacks, and compliance.
  • Identify root causes of errors, fines, and operational inefficiencies.
  • Recommend and support process improvements to strengthen accuracy, efficiency, and compliance performance.

Required Experience & Qualifications

Experience

  • 2+ years of experience in retail coordination, supply chain, order management, or operations support
  • Experience supporting manufacturing or retail-facing environments preferred

Systems & Technical Skills

  • ERP / SAP experience required
  • EDI systems experience required
  • E21 experience strongly preferred
  • Proficiency in Microsoft Excel (analysis, reconciliation, reporting)
  • Experience working within retailer compliance portals, including:
    • CommerceHub
    • SupplierHub
    • Lowe’s Vendor Portal (Lowes.com)
