About This Position

Description:

The Gettys Group is seeking a highly organized, detail-driven RFP Specialist to lead the end-to-end development of proposals and pursuits across our studios—Interior Design, Branding, and Procurement.

This role is central to how we show up to clients. You will manage the full RFP lifecycle—from intake through final submission—ensuring every response is thoughtful, strategic, visually compelling, and aligned with the Gettys brand.

You’ll partner closely with Business Development, Design, Branding, and Procurement teams to bring our story to life in a way that is both structured and inspiring. If you love balancing precision with creativity—and thrive in a fast-paced, collaborative environment—this role is for you.

Requirements:

Lead the RFP Process

  • Own the full RFP lifecycle from receipt through submission across multiple pursuits
  • Review and interpret RFP requirements, deadlines, and evaluation criteria
  • Partner with BD leadership on Go/No-Go decisions and pursuit strategy
  • Track and maintain pursuit data to support reporting, performance analysis, and future business development strategy

  • Manage pursuit workflows, ensuring deadlines are met and deliverables are aligned
  • Act as a central point of coordination—keeping teams focused, accountable, and moving forward

Develop High-Quality Proposals

  • Create polished, client-facing proposals that reflect Gettys’ brand and storytelling
  • Tailor responses using project-specific content (team bios, case studies, imagery, renderings)
  • Collaborate with design and branding teams to elevate visual and narrative quality
  • Support the coordination and strategic presentation of fees across all groups
  • Ensure all submissions are accurate, complete, and compliant with RFP requirements
  • Support development of final decks, image books, and presentation materials

Collaborate Across Studios

  • Work cross-functionally with Interior Design, Branding, Procurement, and BD teams
  • Gather and synthesize inputs from multiple stakeholders into cohesive responses
  • Serve as a resource for locating and organizing proposal materials and past work
  • Ensure accurate and consistent project data for BD and Finance

Support Business Development & Marketing

  • Assist with client presentations, pitch decks, and sales materials
  • Contribute to case studies, project narratives, and marketing content
  • Help maintain and evolve sales tools, templates, and brand standards
  • Support ad hoc BD and marketing initiatives as needed

Manage Content & Resources

  • Maintain proposal templates, content libraries, and image assets
  • Ensure materials are current, organized, and easily accessible
  • Partner with teams to continuously improve content quality and consistency

Drive Process Excellence

  • Identify opportunities to improve RFP workflows and efficiency
  • Establish best practices for proposal development across the firm
  • Ensure consistency in formatting, messaging, and brand standards
  • Balance multiple deadlines with a high level of accuracy and attention to detail

What You Bring

  • Bachelor’s degree or equivalent experience
  • 1+ year of experience in RFPs, proposals, or related work (design, architecture, hospitality, procurement, or similar industries preferred)
  • Strong writing, editing, and proofreading skills with exceptional attention to detail
  • Highly organized with the ability to manage multiple deadlines simultaneously
  • Proficiency in Microsoft Office (PowerPoint and Excel required)
  • Experience with Adobe Creative Suite, InDesign, or Figma is a plus
  • Familiarity with design drawings, specifications, or procurement processes is a plus
  • Strong communication and collaboration skills across diverse teams
  • Strategic thinker who can translate ideas into compelling, client-ready materials
  • Proactive, resourceful, and comfortable working in a fast-moving environment
