DEPARTMENT(S): Behavioral Health-Psych (w/possibility to float to Internal Medicine/ OB-GYN/ Walk-In Clinic/ Ortho Clinic/ Basin Clinic/ Cardiology/ Wound Care/ General Surgery if requested)
REPORTS TO: Service Line Director (BH)
JOB SUMMARY
The Medical Office Specialist is responsible for all clerical, secretarial, scheduling and registration functions of the Physician Clinic.
The staff member must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit. The individual must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient's status. They must be able to interpret the appropriate information needed to identify each patient's requirements relative to his or her age-specific needs, and to provide the care needed as described in the unit's/area's/department's policies and procedures.
JOB REQUIREMENTS
Prefer High School Graduate with some college secretarial or clerical work.
EXPERIENCE
Two years of secretarial, bookkeeping and receptionist experience are preferred.

- Strong computer and keyboarding skills.
- Must be proficient in the use of Microsoft Office Suite products knowledge including Word, Excel and Outlook.
- Ability to learn new computer software applications.
- Accurate and systematical filing skills.
- Detail oriented.
- Exceptional phone etiquette.
ESSENTIAL FUNCTIONS
- Serve as receptionist, answering phones and receiving clients and visitors.
- Secretarial duties for the Physician Clinics.
- Manage physician appointment schedule by filling open slots based on provider guidelines.
- Complete purchase orders, maintain inventory, and order items from materials management.
- File maintenance requests and ensure items are repaired.
- Close Clinic Cash Drawer Daily
- Reconcile Petty Cash Drawer
- Perform record searches for insurance companies, doctors, and complete requests for information.
- Completes point of contact scanning.
- Appropriately register prospective patients into the EMR.
- Retrieve mail from mailbox and Administration. Distribute to appropriate staff.
- Maintain hospital and Medical Record ID numbers and medical records on all patients.
- Work effectively with office physicians daily, being flexible to maximize office efficiency.
- Collect amounts due from patients at time of service according to CRH policy.
SECONDARY FUNCTIONS
- Attend meetings as requested and take notes.
- Perform duplication of necessary materials/correspondence, etc.
- Serve on committees as requested.
- May be requested to perform other duties and responsibilities for which the individual is qualified.
- May be requested to float to other Clinics & Cancer Treatment Center (will need to sign additional job description for this).
