QE Solar is seeking a highly organized and detail‑oriented Business Compliance Specialist – Insurance & Subcontractor Compliance to manage and administer all Specialist company insurance and compliance across our operations. This role is responsible for fleet insurance compliance, operations & maintenance (O&M) insurance, and subcontractor insurance and compliance, ensuring QE Solar remains compliant, audit‑ready, and operationally protected at all times.

This individual will serve as the primary internal owner of insurance and subcontractor compliance, working closely with brokers, leasing partners, subcontractors, operations, procurement, finance, and legal teams. The role reports directly to the Senior Supply Chain Manager and plays a critical role in protecting QE Solar’s people, assets, and projects.

Key Responsibilities

Insurance Management & Compliance

· Own and manage all QE Solar insurance programs, including:

Auto & fleet insurance

General liability

Umbrella / excess liability

Property, equipment, and tools coverage

O&M‑specific insurance requirements

· Coordinate insurance renewals, endorsements, policy changes, and audits.

· Serve as the primary point of contact for insurance brokers, carriers, and third‑party partners.

· Track coverage limits, deductibles, exclusions, and policy requirements to ensure ongoing compliance.

· Support claims intake, documentation, and coordination with internal teams and insurers.

Fleet Insurance & Compliance

· Ensure all company‑owned, leased, and rented vehicles are properly insured and compliant.

· Manage insurance requirements for fleet leasing partners and rental providers.

· Track insured vehicles, VINs, effective dates, and policy changes.

· Ensure compliance with auto liability limits, deductibles, additional insureds, waivers of subrogation, and primary/non‑contributory requirements.

· Support fleet‑related audits, internal reviews, and risk assessments as needed

Operations & Maintenance (O&M) Insurance

· Ensure all O&M projects, sites, and activities meet insurance and risk requirements.

· Coordinate project‑specific insurance documentation as required by customers or partners.

· Support operations teams with insurance documentation required for site access, mobilization, and contractual compliance.

· Maintain standardized insurance requirements aligned with customer contracts and internal risk standards.

Subcontractor Insurance & Compliance

· Own subcontractor insurance compliance across all QE Solar projects and regions.

· Review subcontractor Certificates of Insurance (COIs) to ensure compliance with QE Solar requirements, including:

Coverage types and limits

Additional insured endorsements

Waivers of subrogation

Primary and non‑contributory language

· Partner with Supply Chain, Procurement, and Operations to ensure subcontractors are fully compliant prior to onboarding, mobilization, or payment.

· Track subcontractor insurance expirations and proactively manage renewals.

· Maintain centralized, audit‑ready subcontractor compliance records.

· Support internal audits and customer audits related to subcontractor insurance and risk.

· Identify compliance gaps, escalate risks as needed, and support corrective action.

Certificates of Insurance (COIs) & Documentation

· Manage all inbound and outbound COI requests (vendors, subcontractors, customers, and partners).

· Review COIs for accuracy, completeness, and contractual compliance.

· Maintain organized insurance and compliance tracking logs.

· Support procurement and AP teams by validating compliance prior to contract execution and payment approval.

Audit & Process Improvement

· Support internal and external audits related to insurance, subcontractor compliance, fleet, and risk management.

· Identify coverage gaps, compliance risks, and opportunities for process improvement.

· Develop and maintain SOPs, checklists, and tracking tools for insurance and subcontractor compliance.

· Provide reporting and visibility into insurance exposure, subcontractor compliance status, and upcoming renewals.

Qualifications

Required

· 3+ years of experience in insurance, compliance, or subcontractor compliance.

· Strong working knowledge of:

Commercial insurance policies and terminology

Certificates of Insurance (COIs) and endorsements

Subcontractor and vendor compliance requirements

· High attention to detail with strong organizational and documentation skills.

· Experience working with insurance brokers, subcontractors, and third‑party vendors.

· Ability to manage multiple priorities in a fast‑paced operational environment.

· Strong written and verbal communication skills.

Preferred

· Experience in construction, renewable energy, O&M, or field‑based operations.

· Familiarity with fleet leasing, rental programs, or transportation insurance.

· Familiar with the following platforms: ISNET, NetSuite, Asset Panda, and JIRA

· Experience supporting audits or customer compliance reviews.

· Advanced Excel or compliance‑tracking system experience.

• Occasionally standing, walking, and moving throughout the office or facility

• Ability to lift and carry up to 15 pounds, as needed
