Description:

Job Title: Administrative Assistant, Solar Operations

Position Summary:

SunVena seeks a motivated and detail-oriented Administrative Assistant to provide essential day-to-day

support for the Operations Department. The primary responsibility is to ensure all required project

components are processed in a timely manner, upholding high standards of quality and efficiency to

progress solar projects. This position reports to the Director of Operations.

Key Responsibilities:

  • Perform data entry for all new deals, transferring information from the Sales CRM to the Operations CRM.
  • Monitor the job board to identify projects ready for install and coordinate scheduling with the Install Team.
  • Make calls to building departments to follow up on permits.
  • Manage and track project deliverables and timelines.
  • Prepare and submit Notice of Commencement’s for all projects.
  • Maintain communication and positive relationships with AHJ’s (Authorities Having Jurisdiction).
  • Monitor and update permit expirations, cancellations, and existing permits.
  • Coordinate interdepartmental communications.
  • Perform other administrative duties as assigned.

Qualifications:

  • 2+ years of dedicated experience in solar operations administration or project coordination.
  • Strong understanding of the solar project lifecycle, including AHJ permitting and utility interconnection.
  • Proficiency with CRM and project management softwares.
  • Advanced proficiency in Word, Excel, PowerPoint, and other computer applications
  • Excellent written and verbal communication skills, including professional telephone etiquette.
  • Proven ability to manage complex project deliverables, multitask efficiently, and maintain outstanding organizational follow-through.
  • Self-guided, self-motivated, and proactive work ethic.
