Job Description
Primary Objective:
Holmes Motors is seeking a detail-oriented and driven Insurance Clerk for processing, tracking, and maintaining insurance-related documentation for vehicle sales and financing transactions. This position serves as a primary point of contact for customers, insurance providers, lenders, and dealership personnel through frequent telephone and email communication. The Insurance Clerk must maintain a high level of professionalism, accuracy, and customer service while ensuring insurance requirements are met, documentation is complete, and funding timelines are maintained. This role plays a key part in supporting dealership compliance, customer satisfaction, and operational efficiency.
Requirements:Essential Duties and Responsibilities:
- Maintain a high volume of telephone and email communication with customers, insurance carriers, lenders, and dealership personnel.
- Contact insurance providers to verify policy information, coverage limits, effective dates, and lienholder information.
- Provide exceptional customer service while handling inquiries, resolving issues, and responding to requests in a timely manner.
- Maintain professional written and verbal communication standards that reflect positively on the dealership.
- Monitor outstanding insurance requirements and proactively follow up with customers and insurance providers to obtain necessary documentation.
- Maintain organized electronic and paper records of insurance documentation.
- Ensure dealership compliance with lender, state, and company insurance requirements.
- Update dealership management systems with accurate insurance information.
- Process insurance-related correspondence and maintain tracking logs.
- Collaborate with the Finance Department to support timely funding of vehicle contracts.
- Protect customer privacy and maintain confidentiality of sensitive information.
- Perform other administrative duties as assigned.
Qualifications:
- Strong organizational and administrative skills.
- Ability to communicate professionally with customers.
- Previous automotive dealership, insurance or administrative experience preferred.
- Experience working with dealership management systems is a plus
- Strong attention to detail and follow-through.
- Effective verbal and written communication skills.
- Ability to handle confidential information professionally.
- Basic understanding of automotive financing and insurance processes preferred.
- Proficiency with Microsoft Office applications and computer systems.
- Ability to work in a fast-paced environment and manage multiple priorities.
