About the Role:

The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of the office environment.

This position is responsible for overseeing daily administrative functions, managing office resources, and supporting staff to maintain productivity and organization. Additionally, this role involves maintaining comprehensive records to support operational needs.

We are seeking an experienced, highly organized, dependable Office Manager to oversee the daily administrative and operational functions of our non-medical home care agency.

The ideal candidate is a strong leader who can independently manage office operations, supervise staff, coordinate caregivers and client services, maintain compliance, oversee scheduling and EVV processes, and ensure the agency operates efficiently.

This is a hands-on management position requiring excellent judgment, accountability, professionalism, problem-solving skills, and the ability to manage multiple priorities in a fast-paced home care environment.

Ultimately, the Office Manager contributes to creating a professional, well-organized workplace that supports the overall success of the organization.

Minimum Qualifications:

  • 2+ years of home care, home health, healthcare staffing, or related office-management experience.
  • Proven experience in office management or a related administrative role.
  • Experience with caregiver scheduling and employee management.
  • Experience with HHAeXchange, EVV, or comparable home care software.
  • Familiarity with Medicaid-funded home and community-based services.
  • Experience reviewing payroll/timekeeping records.
  • Knowledge of caregiver personnel-file and client-record requirements.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Knowledge of additional office software such as Microsoft Office Suite or Google Workspace.
  • Responsibilities:

    • Manage and oversee daily office operations to ensure efficiency and effectiveness.
    • Handle accounts payable processes,
    • Coordinate appointment scheduling and manage calendars for staff and management.
    • Organize and maintain physical and digital records to ensure easy retrieval and compliance.
    • Supervise general office duties such as ordering supplies, managing correspondence, and supporting staff needs.
    • Collaborate with other departments to facilitate communication and workflow.
    • Implement and maintain office policies and procedures to improve operational efficiency.
