Job Description
Position Description: Position Summary
To screen and efficiently schedule donation collections, manage donation records, provide accurate reporting, and ensure that every caller and donor receive prompt, professional, courteous service and a solution. This role coordinates the operational resources needed to support donation pickups and deconstruction activities, participates in truck routes, and helps move donated merchandise efficiently from truck return through receiving, pricing, staging, and sales-floor readiness.
Essential Duties and Responsibilities

Decision-Making:
- Makes decisions regarding donation acceptance and pick-up scheduling following established policies and procedures.
Administrative:
- Answer phones promptly and in a courteous manner. Check and promptly return voicemail from the donation hotline and donation emails.
- Ensure accurate data entry and reporting; maintain the integrity of the donor database and related paperwork.
- Prepare and distribute monthly donation reports.
- Assist ReStore staff with various office functions and other duties, as requested.
Technical:
- Thoroughly screen donation offers ensuring adherence to the ReStore’s donation acceptance guidelines.
- Ensure that donation pickups are scheduled promptly and efficiently, making effective use of Habitat’s volunteer and other resources.
- Maintain continual communication with Donation Ambassadors and assigned volunteers throughout the pickup and deconstruction process.
- Complete donation collection reminder calls daily.
- Obtain and maintain truck certification; drive and support truck routes and deconstruction activities as scheduled and needed.
- Coordinate the receiving workflow when trucks return, working with available ReStore staff to safely unload and direct donated merchandise to the appropriate processing or sales-floor area.
- Price standard donated merchandise within established pricing guidelines; identify items requiring additional review.
- Support the timely movement of donated merchandise from receiving through pricing and sales-floor readiness, with a focus on reducing unnecessary handling and receiving backlog.
Internal Representation:
- Develop strong, positive, and lasting relationships with staff and volunteers throughout the organization.
- Work alongside and support assigned volunteers on truck routes, deconstruction activities, and donation operations.
External Representation:
- Communicate with donors, primarily on program-specific duties.

- Ability to coordinate donation activities and adjust priorities based on truck activity, donation volume, deconstruction needs, and available resources.
- Ability to learn and apply established ReStore pricing guidelines and make sound decisions regarding the processing and staging of donated merchandise.
- Ability to work collaboratively with staff and volunteers during receiving and donation activities while maintaining a team-focused environment.

Work Schedule
May work up to 30 hours per week. Schedule may vary based on donation pickups, truck return times, deconstruction activities, receiving needs, and other operational demands. Occasional Saturday availability is required. Start and end times may flex to support the needs of the donation operation; schedules will be established in advance whenever possible.
Physical Demands
The position includes work in donation receiving, truck routes, and deconstruction environments and may require lifting, carrying, pushing, pulling, and moving donated materials. While performing the duties of this job, the employee is REGULARLY required to SIT, STAND, WALK, USE HANDS OR FINGERS, HANDLE OR FEEL; REACH WITH HANDS AND ARMS; TALK OR HEAR. The employee may OCCASIONALLY lift and/or move up to 50 pounds.
