Position Overview
The Compliance and EMR Coordinator is responsible for supporting operational compliance, documentation integrity, and electronic medical records accuracy across the Southern California region. This is a non-supervisory, process-focused role centered on coordination, tracking, and follow-through. The position serves both East and West side programs and requires consistent on-site presence to ensure accessibility, visibility, and execution.
Key Responsibilities
Chart Auditing and Documentation Compliance
• Conduct ongoing chart audits across assigned programs to identify documentation deficiencies
• Track deficiencies through to resolution, including direct follow-up with staff on timelines
• Escalate outstanding items appropriately when not resolved within expected timeframes
• Maintain audit logs and generate summary reports for leadership review
• Support a culture of documentation accountability without a supervisory function
Incident and Risk Management
• Ensure all incident reports are entered, completed, and properly filed in a timely manner
• Maintain a centralized incident log with visibility into trends, patterns, and gaps
• Follow up with staff and leadership to confirm incidents are documented and closed
• Flag recurring issues or systemic risks to the appropriate regional leadership
EMR Operational Oversight
• Support schedule accuracy and ensure attendance aligns with billing records
• Assist with user access management in coordination with the IT/EMR administrator
• Identify and flag EMR discrepancies that may affect billing accuracy or forecasting
• Support the ongoing transition from Kipu to Sunwave, including workflow adaptation and audit process alignment
• EMR responsibilities are operational in nature and will be coordinated with the designated EMR administrator; this role does not function as an IT role
Requirements:Qualifications
• Minimum 1 year of experience in behavioral health, healthcare administration, or a related field
• Familiarity with electronic medical records systems; experience with Kipu or Sunwave preferred
• Strong attention to detail with the ability to manage multiple tracking workstreams simultaneously
• Excellent written and verbal communication skills
• Demonstrated ability to follow up consistently and escalate appropriately without supervisory authority
• Proficiency in Microsoft Office, including Excel and Outlook
• Experience in a residential treatment or outpatient behavioral health setting preferred
Work Schedule and Conditions
• Full-time, on-site position
• Monday through Friday; schedule may vary based on program needs
• Must be able to travel between program sites within the Southern California region
• This is a non-supervisory role
