Description:

As our AP / Operational Support Specialist, you will play a key role in supporting both the accounting and operational functions of the business. This position is responsible for processing vendor invoices, invoicing warehouse and direct orders, and providing general office and administrative support. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining strong relationships with internal teams and external vendors.

Responsibilities:

  • Review invoices for appropriate documentation and approval prior to payment.
  • Process accounts payable invoices for inventory and expense-related purchases.
  • Coordinate and track purchase order invoice approvals to ensure timely processing.
  • Invoice warehouse and direct customer orders accurately and on time.
  • Monitor payment schedules and discount opportunities; prepare checks and electronic payments.
  • Research and respond to accounts payable inquiries from vendors and internal stakeholders.
  • Set up new vendors and maintain accurate vendor records.
  • Assist with general office, clerical, and administrative support duties.
  • Route incoming calls and correspondence to the appropriate departments.
  • Maintain filing systems and supporting documentation for audits.
  • Communicate professionally with vendors regarding payment status and invoice questions.
  • Perform other duties as assigned.

Requirements:
  • Associate degree in Accounting, Business, or related field preferred; equivalent experience considered.
  • 2+ years of accounts payable, accounting, or office administration experience.
  • Understanding of basic accounting and bookkeeping principles.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to maintain confidentiality.
  • Strong communication and customer service skills.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to work independently and collaboratively in a fast-paced environment.
