About This Position
GENERAL SUMMARY
The Assistant Registrar supports all aspects of the Registrar's operations, including, but not limited to, student academic records, registration, scheduling, and degree completion processes. This role ensures the integrity, accuracy, security, and compliance of academic records while providing excellent service to students, faculty, and staff. The Assistant Registrar plays a vital part in delivering accurate, efficient, and student-focused services that promote academic success and institutional compliance.
MAJOR FUNCTIONS
Serve as the primary point of contact for customer service within the Registrar’s Office. Assist students with both online and in-person registration, including walk-in registration, major/minor changes, and related academic record updatesProcess student verification and enrollment deferment requests as neededManage transcript request processing, including both paper and electronic transcriptsServe as the institution’s School Certifying OfficialMaintain records for veteran students (approximately 50) and submit enrollment certifications to the Department of Veterans Affairs each semesterEnsure compliance with VA regulations and participate in VA-administered compliance surveysMaintain working knowledge of Tuition Assistance programs, Department of Education Title IV funding, and Veteran Affairs education benefits, and provide guidance to service members regarding institutional resources such as academic advising, financial aid counseling, job search support, and other student servicesEvaluate transfer credits for new students through Jenzabar One for the Admissions Office as neededCreate and update course offerings within Jenzabar One, and work with faculty to manage academic classroom and facility reservations.Coordinate the transfer of new student information from Admissions to Registration, maintain new student records, and ensure all required documentation is received and properly filedCoordinate advising schedules and registration logistics for new student registration eventsManage the enrollment process for returning students from application submission through registration, working closely with Admissions, Financial Aid, and the Academic Success CenterAssist the Registrar with academic catalog preparation, curriculum updates, and maintenance of academic advising plans and advising worksheetsSupport major academic events, including Commencement, Graduation Fair, the Spirit of Excellence Ceremony, and Fall Opening ConvocationAssist with NCAA athletic eligibility responsibilities in the absence of the Registrar and collaborate with the Athletic Office, Compliance Director, and Faculty Athletic Representative as neededEnsure compliance with all University of Sioux Falls policies and applicable external regulations, including but not limited to Title IX, NCAA, NSIC, Department of Education, Clery Act, FERPA, the Equal Employment Opportunity Commission, the Department of Labor, and the Department of JusticePerform other duties as assigned by the Registrar or the VP for Academic AffairsWork occasional weekends to support academic eventsQUALIFICATIONS
Bachelor’s degree required; master’s degree preferred. Higher Education experience preferredDemonstrated knowledge in and ability to think analytically and work independently and collegiallyProficiency with Microsoft Office products, particularly Excel and WordDemonstrate a strong commitment to delivering exceptional customer service, with the ability to effectively address needs, resolve concerns, and create a positive experienceFlexibility to manage a variety of tasks over a long timeframe as well as under short time constraintsRecord of success in a professional setting with demonstration of a strong work ethic that contributes to a strong team effortExcellent organizational skills and attention to detail Strong verbal and written communication skillsDemonstrated ability to work within the Christian mission of the University of Sioux Falls and the Office of the RegistrarAble to maintain a sitting position at a desk for extended periods with frequent keyboard and computer use and lift 20 lbs. on an as-needed basis; ability to successfully pass a required background check
