Job Description
YOUR R.E.S., operating in Dallas–Fort Worth, is hiring a Bilingual Real Estate Operations Coordinator. This is a remote coordinator role supporting an active real estate investment company that buys, renovates, and resells single-family homes throughout the DFW metroplex.
The Coordinator works directly with the owner to support three primary functions: coordinating Spanish-speaking contractors and vendors on active renovation projects, sourcing and onboarding new subcontractors, and managing communication with Spanish-speaking sellers in our acquisition pipeline.
The Coordinator also supports the owner with executive administrative tasks and maintains the CRM.
This position is suited to an experienced bilingual remote operations professional with prior virtual assistant or coordinator experience supporting a US-based real estate investor, property manager, or small construction company. Prior experience with platforms such as Follow Up Boss, BatchDialer, or REI Reply is strongly preferred.
Compensation is structured as a base salary with performance bonuses tied to qualified appointments, closed acquisitions, subcontractor onboarding milestones, and quarterly performance targets. This is not a commission-based sales position.
Compensation:$21,000 - $27,000
Responsibilities:
- Coordinate daily communication with active contractors and vendors in both English and Spanish via WhatsApp, telephone, and email. Translate scope changes, change orders, payment status updates, and inspection schedules between field personnel and ownership.
- Source new subcontractors through referrals, online platforms, and direct outreach. Conduct intake calls, verify references, and collect required documentation, including W-9 forms, certificates of insurance, and trade licenses.
- Respond to inbound Spanish-language seller inquiries within five minutes during business hours. Qualify motivation, timeline, equity position, and property condition. Schedule appointments and deliver pre-appointment confirmations.
- Conduct outbound calls to warm and cold Spanish-language lead lists. Maintain accurate CRM documentation in Follow Up Boss throughout the qualifying process.
- Provide executive administrative support, including calendar management, email triage, document drafting from templates, expense tracking, and follow-up task management.
- Maintain the master contractor database in Google Sheets. Submit a weekly operations report each Friday by 5:00 PM Central Time covering contractor status, sub onboarding pipeline, lead activity, and administrative items.
- Document standard operating procedures as the role evolves. Flag inefficiencies and propose process improvements on a quarterly basis.
Qualifications:
- Native or near-native fluency in both English and Spanish, written and spoken, with demonstrated comfort handling inbound and outbound phone calls in both languages. Language proficiency will be assessed live during the interview.
- Three or more years of experience as a remote virtual assistant, operations coordinator, or executive assistant supporting a US-based real estate, property management, or small construction business. At least one prior role of two or more years.
- Familiarity with US real estate workflow concepts, including scope of work documentation, contractor draws, lien releases, W-9 collection, certificates of insurance, and change orders.
- Direct experience with at least one real estate CRM platform. Strong preference for Follow Up Boss; REI Reply, BatchDialer, or CallTools also welcomed. Proficiency in Google Workspace required.
- Availability to work 8:00 AM to 5:00 PM Central Time (US), Monday through Friday, with reliable internet of 50 Mbps or higher, backup mobile hotspot, backup power, and a quiet workspace with a professional headset.
- Demonstrated capacity for independent operation and proactive communication. The successful candidate operates without daily supervision, takes ownership of outcomes, and contributes ideas to improve processes.
- Working knowledge of Zapier and the construction of multi-step automated workflows is a strong plus, but not required.
