POSITION SUMMARY
The Assistant Director of Enrollment Operations reports to the Executive Director of Admission and works closely with the Admissions, Financial Aid, and Communications departments to achieve the university's enrollment goals. This role plays a key part in developing, implementing, and optimizing data-driven enrollment strategies through CRM architecture, communication workflows, and systems integration.
The assistant director is responsible for designing, maintaining, and improving workflows and systems operations for the Office of Admissions and Financial Aid. As the primary administrator of Slate, this role serves as both a technical and strategic lead, ensuring data integrity, system performance, and alignment between enrollment goals, marketing initiatives, and CRM functionality.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support enrollment objectives and strategic initiatives for Admissions and Financial Aid
- Maintain and manage Technolutions Slate as the university's primary Slate administrator
- Design, configure, and manage multi-step, behavior-driven communication campaigns with conditional logic, triggers, and branching pathways across the admissions funnel for 30+ academic programs.
- Produce reports and analyze enrollment data, application trends, and conversion metrics
- Develop enrollment forecasts, projections, and action plans based on data analysis
- Develop and maintain complex queries, populations, and data structures to support segmentation, reporting and campaign execution.
- Collaborate with departments across the university to improve enrollment operations and workflows
- Identify opportunities to improve business processes and reduce operational inefficiencies. Gather information from stakeholders to standardize admissions and financial aid best practices
- Work collaboratively with the communications and marketing staff on all matters related to Slate, email, data, and recruitment
- Develop and maintain Slate governance standards, including naming conventions, documentation, and provide regular training sessions for Slate users
- Participate in system upgrades, testing, integrations, and implementation of new systems
- Maintain data integrity and perform regular audits across multiple platforms
- Monitor compliance with policies, procedures, and admissions data practices
- Participate in university committees related to data, systems, and integrations
- Support division events, meetings, and communications as needed
- Supervision of the admission's operation team, including two professional staff
- Perform other duties as assigned
Job Requirements:
MINIMUM QUALIFICATIONS
- Bachelor's degree
- 4-6 years of experience in higher education, CRM/database management, or related experience
- Experience working with Technolutions Slate or similar CRM systems
- Demonstrated experience building and managing complex communication campaigns and data queries
- 2 years experience using data to demonstrate patterns and recommend opportunities.
- Demonstrated project management experience from planning through implementation
- Strong proficiency in Microsoft Office programs
- Administrative experience in higher education preferred
- Familiarity with Ellucian Colleague preferred
- Experience with data reporting, systems operations, and workflow management preferred
- Demonstrated experience and proficiency in data analysis
- Experience in setting up, testing, and managing complex email flows in Slate
ENVIRONMENTAL DEMANDS
Occasional work may be performed independently with the ability to work remotely from time to time. This position requires regular collaboration and communication with colleagues and departments across the university.
PHYSICAL ABILITIES
This position requires attention to detail, good memory, ability to work under deadline pressure, sitting and standing for long periods of time, oral and written communication, keyboarding for significant portions of the workday, pushing, pulling, bending, stooping, reaching, patience, and tact to perform the essential functions.
LOCATION
Hybrid: remote with 2-3 days a week on-campus, and as needed for events

WAGES AND BENEFITS
$78,000 to $83,000

- Working Conditions Duties are primarily performed in an office environment at a desk or computer terminal, typically Monday through Friday with some weekends required for classes.
