Job Description
The Strategic Engagement Coordinator supports the planning, coordination, and execution of executive engagement activities for the federal client. Working under the direction of the Strategic Engagement Planning Lead, the coordinator manages engagement requests, prepares briefing materials, maintains task management systems, and coordinates logistics for meetings, conferences, and speaking engagements. This position ensures leadership engagement activities are organized, timely, and aligned with agency priorities. This is a contingent position. Hiring for this role is dependent upon LMD Agency being awarded the associated government contract and receiving authorization to proceed.

KEY RESPONSIBILITIES
- Monitor shared email inboxes and SharePoint-based task management systems for Executive Affairs (EA) taskings, meeting requests, speaking invitations, and other engagement requests.
- Log, track, route, and maintain records of leadership engagement requests and associated action items.
- Conduct research on conferences, stakeholder meetings, industry events, and organizations to support executive engagement planning.
- Assist in preparing executive briefing materials, including:
- Briefing memoranda
- Read-ahead packages
- Background research
- Speaker biographies
- Audience profiles
- Event summaries
- Talking points
- Prepare and process Speaking Request Forms and supporting documentation for leadership review.
- Coordinate meeting logistics and collect required information from internal program offices and external stakeholders.
- Support the preparation of materials for public speaking engagements, meetings, conferences, and stakeholder events.
- Proofread briefing documents, presentations, correspondence, and other executive materials for grammar, formatting, accuracy, and consistency with agency standards.
- Coordinate with Executive Secretariat (ExecSec), communications teams, program offices, and other internal stakeholders to facilitate reviews and approvals of engagement materials.
- Maintain engagement calendars, tracking databases, SharePoint libraries, and document repositories to support leadership engagement activities.
- Assist with records management by organizing, archiving, and maintaining engagement documentation in accordance with agency requirements.
- Support speakers bureau activities, including scheduling support, correspondence, document preparation, and engagement tracking.
- Prepare routine reports and status updates on engagement requests, task completion, and workflow metrics.
- Provide administrative and clerical support for executive engagement planning and related Office of External Affairs activities.
QUALIFICATIONS
- Currently holds, or is able to obtain, a Department of Homeland Security (DHS) Fitness Determination.
- Bachelor’s degree (BS/BA) in Marketing, Public Relations, Communications, Event Management, Business Administration, or a related field.
- Minimum of three (3) years of demonstrated professional experience supporting conference planning, event coordination, executive scheduling, public affairs, communications, or related administrative functions.
- Experience coordinating meetings, conferences, speaking engagements, or executive events.
- Experience preparing or supporting the development of executive briefing materials, meeting packages, or presentations.
- Strong written and verbal communication skills, including proofreading and editing.
- Excellent organizational skills with the ability to manage multiple assignments in a deadline-driven environment.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Teams, and SharePoint.
- Demonstrated attention to detail and ability to coordinate activities across multiple stakeholders.
PREFERRED SKILLS AND EXPERIENCE
- Experience supporting the Department of Homeland Security (DHS), or another federal agency.
- Familiarity with Executive Secretariat (ExecSec) processes and executive correspondence workflows.
- Experience supporting executive scheduling, speakers bureaus, or public affairs organizations.
- Knowledge of federal records management and document control procedures.
- Familiarity with cybersecurity, homeland security, emergency management, or critical infrastructure programs.
- Experience using task management, workflow, or event management systems.
- Ability to work effectively in a fast-paced environment supporting senior government leaders.

This position is part of a proposal effort and is contingent upon LMD Agency being awarded the associated contract and receiving funding and/or government authorization to begin work. Candidates may be interviewed and selected in advance to support a timely project launch; however, employment cannot begin unless and until the contract is awarded and all pre-employment requirements are successfully completed.

57,000 - 76,000 USD per year(Remote)
