Position Summary
The Patient Services Analyst supports the operational effectiveness of Patient Services and Patient Access by analyzing workflows, performance data, system processes, and departmental trends. This position works collaboratively with leadership and frontline teams to identify opportunities for improvement, resolve operational issues, support departmental initiatives, and enhance the overall patient experience.
The Patient Services Analyst serves as a resource for reporting, process evaluation, system functionality, and performance improvement while helping ensure departmental practices align with organizational policies, regulatory requirements, and established standards.
Primary Duties and Responsibilities
- Analyze Patient Services and Patient Access operations to identify inefficiencies, trends, barriers, errors, and opportunities for process improvement. Review workflows, work queues, scheduling, registration, referrals, authorizations, call center activity, productivity, quality, and other patient access functions to identify opportunities to improve operational performance and the patient experience.
- Collect, analyze, and interpret operational data and performance metrics; develop and maintain reports, dashboards, and key performance indicators (KPIs) to monitor performance, identify trends or variances, and support leadership decision-making and intervention.
- Support leadership in the development, implementation, and monitoring of departmental initiatives and performance improvement projects, including establishing standardized processes, identifying best practices, monitoring outcomes, and making recommendations for continuous improvement.
- Serve as a subject matter resource for Patient Services workflows, processes, policies, and systems. Investigate operational and system-related issues, perform root-cause analysis, and collaborate with Information Technology, Revenue Cycle, clinical departments, and other operational teams to develop and implement effective solutions.
- Evaluate and validate system workflows to ensure work is appropriately routed, assigned, tracked, and completed. Participate in system testing, workflow validation, implementation activities, and post-implementation monitoring related to system enhancements and workflow changes.
- Develop, maintain, and update departmental policies, procedures, workflows, job aids, and training materials to support standardized practices and effective implementation of process and system changes.
- Conduct quality reviews and operational audits to identify errors, trends, training or education needs, compliance concerns, and opportunities for process improvement. Assist with training and education related to new processes, system enhancements, and identified performance opportunities.
- Prepare and present operational reports, analyses, findings, and recommendations to leadership and other stakeholders regarding performance, trends, risks, and improvement opportunities. Participate in departmental meetings, project teams, and cross-functional initiatives.
- Maintain current knowledge of applicable healthcare regulations, organizational policies, payer requirements, and relevant industry practices and incorporate applicable requirements into workflows, processes, and recommendations.
- Perform other duties and special projects as assigned.
Qualifications
- Education:
- High school diploma or equivalent, or an equivalent combination of education and relevant experience.
- Experience:
- Previous experience in healthcare, Patient Access, Patient Services, Revenue Cycle, scheduling, registration, or a related healthcare operational area (preferred)
- Knowledge / Abilities:
- Strong analytical, critical thinking, problem-solving, and organizational skills, with the ability to translate data into actionable recommendations.
- Strong understanding of healthcare operations, patient access processes, and workflow improvement.
- Effective written and verbal communication skills across frontline, leadership, clinical, and support teams.
- Ability to manage multiple priorities independently while collaborating effectively across multidisciplinary teams.
- Strong attention to detail, accuracy, confidentiality, and appropriate handling of protected health information.
- Proficiency in Microsoft Excel, Word, PowerPoint, and reporting or analytical applications; experience with electronic health record and patient management systems preferred.
