Projects Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Projects Coordinator based in the United States.

This role provides broad visibility across an organization’s active engineering projects, helping ensure work progresses smoothly from award through completion.
You will serve as a central operational link between Business Development, Engineering, clients, and Accounting.
The position combines project coordination, financial tracking, client communication, reporting, and process improvement.
You will monitor schedules, milestones, budgets, deliverables, and risks across multiple concurrent projects.
Your work will help improve accountability, reduce delays, strengthen documentation, and give leadership a clear view of project performance.

Accountabilities:
  • Oversee and track active engineering projects from initial kickoff through successful completion, maintaining visibility across the overall project portfolio.
  • Coordinate the transition of projects from Business Development into execution, ensuring scope, requirements, responsibilities, and deliverables are clearly communicated.
  • Monitor project schedules, milestones, budgets, deliverables, and dependencies, identifying potential delays or risks and driving timely resolution.
  • Coordinate communication between clients, Business Development, Engineering, and Accounting to ensure projects remain aligned with expectations and commitments.
  • Lead project status meetings, communicate progress and upcoming deliverables, and maintain clear follow-up on action items.
  • Monitor project budgets and profitability, ensuring financial information remains accurate and current.
  • Track time-and-materials hours and coordinate with relevant teams to ensure hours are recorded accurately.
  • Partner with Accounting to support timely and accurate project invoicing.
  • Track change orders and ensure changes to project scope are properly documented, approved, communicated, and incorporated into project tracking.
  • Maintain project dashboards, status reports, and executive-level reporting that provide actionable visibility into project performance.
  • Identify opportunities to improve project workflows, standardize procedures, strengthen documentation, and increase operational efficiency.
  • Promote accountability and consistent execution across teams while managing multiple projects and competing priorities.
  • Provide leadership with clear, timely insights into project status, financial performance, risks, bottlenecks, and opportunities for improvement.
Requirements:
  • Bachelor’s degree or equivalent combination of education and relevant professional experience.
  • 3–7+ years of experience in project coordination, project management, or a comparable operational role.
  • Demonstrated experience managing multiple concurrent projects and coordinating activities across several internal and external stakeholders.
  • Excellent organizational, communication, prioritization, and multitasking skills, with strong attention to detail.
  • Ability to monitor numerous project threads simultaneously while maintaining accurate records, deadlines, budgets, and follow-up actions.
  • Strong client relationship and stakeholder management skills, with the ability to communicate clearly with both technical and non-technical audiences.
  • Demonstrated problem-solving skills and the ability to identify risks, resolve issues, and keep projects moving forward.
  • Strong financial awareness and experience tracking project budgets, time, profitability, invoicing, or related project administration.
  • Experience with project management platforms such as Monday.com, Asana, Smartsheet, ClickUp, Microsoft Project, or Jira is preferred.
  • Experience with ERP or accounting systems is advantageous.
  • Previous experience in engineering, consulting, construction, renewable energy, or another project-driven industry is preferred.
  • PMP or CAPM certification is a plus.
  • Strong adaptability, accountability, collaboration, and process-improvement mindset.
  • Comfortable working independently in a remote environment using digital communication and collaboration tools.
