The Project Management Office (PMO) Project Coordinator supports Project Managers and Program Managers in the coordination, implementation, management, and successful completion of projects across RWJBarnabas Health.
In this role, you will help ensure projects remain aligned with organizational strategy, commitments, timelines, and goals. The Project Coordinator plays an important role in maintaining project plans and documentation, tracking risks and issues, coordinating deliverables, communicating project status, and keeping project teams and leadership informed throughout the project lifecycle.
This position is ideal for someone who is highly organized, detail-oriented, adaptable, and interested in growing within project management while contributing to large-scale initiatives across the organization.
As a PMO Project Coordinator, a Typical Day May Include- Supporting Project Managers and Program Managers with the planning, coordination, implementation, and completion of projects.
- Coordinating and maintaining project workplans, timelines, milestones, and deliverables.
- Assisting with project workplan reviews and ensuring action items and deliverables remain on track.
- Tracking project issues, risks, dependencies, decisions, and follow-up activities.
- Preparing and maintaining project status updates and other project-related communications.
- Creating and maintaining clear, accurate, and organized project documentation.
- Monitoring project timelines and escalating potential delays, risks, or concerns to appropriate project leadership.
- Communicating regularly with project teams, stakeholders, supervisors, and Executive Management to ensure appropriate visibility into project progress and issues.
- Coordinating meetings, project discussions, follow-up activities, and documentation as needed.
- Utilizing Microsoft Office, project planning tools, and Project Management Information Systems to organize and track project activities.
- Working with project leadership and subject matter experts to gather information and support project deliverables.
- Supporting multiple projects and priorities in a fast-paced environment while meeting established deadlines.
- Working independently under regular supervision to produce measurable, high-quality results.
- Developing and maintaining an understanding of RWJBarnabas Health Enterprise and IT goals and how the project portfolio supports and impacts those objectives.
- Identifying opportunities to assist project teams and proactively taking ownership of assigned tasks.
- You are highly organized and enjoy keeping projects, timelines, documentation, and deliverables on track.
- You enjoy working behind the scenes to help complex projects run smoothly.
- You are comfortable managing multiple priorities and deadlines in a fast-paced environment.

- Associate's degree with three or more years of related experience.
- At least one year of relevant experience supporting or coordinating large-scale projects, preferably within a healthcare environment.
- Experience utilizing Microsoft Office Suite.
- Experience with a Project Management Information System (PMIS) and/or project planning tools.
- Strong organizational and time-management skills.
- Excellent attention to detail.
- Ability to work effectively in a fast-paced environment and meet established deadlines.
- Strong written and verbal communication skills.
- Demonstrated ability to take ownership of assignments and complete work accurately, efficiently, and on time.
- Strong critical-thinking and problem-solving capabilities.
- Ability to communicate effectively with project leadership, stakeholders, and subject matter experts.
- Ability to work independently under regular supervision while collaborating effectively with project teams.
Preferred Qualifications:
- Bachelor's degree.
- Three or more years of relevant experience in large-scale project coordination or project support.
- Previous experience supporting projects within a healthcare environment.
- Experience supporting multiple concurrent projects, programs, or enterprise-level initiatives.
- Familiarity with project management processes, including workplan management, risk and issue tracking, status reporting, and project documentation.
