Intake Lab Testing Coordinator
Department: Quality / Laboratory
Reports To: Laboratory Manager / Quality Manager
Hourly Salary: $26.44 - $31.25
Classification: Full-Time
Position Summary
The Intake Lab Testing Coordinator is responsible for coordinating the receipt, documentation, tracking, and testing workflow of raw materials, in-process samples, and finished products submitted to the laboratory. This position ensures samples are properly identified, entered into the appropriate system, prioritized, and routed for testing in accordance with company procedures, GMP requirements, and established laboratory timelines.
The role serves as a key link between Quality, Laboratory, Manufacturing, Warehouse, and Planning to ensure accurate sample management and timely testing.
Key Responsibilities
• Receive and log incoming laboratory samples for raw materials, in-process materials, and finished products.
• Verify sample information, including lot number, material/product name, batch number, quantity, and required testing.
• Ensure samples are properly labeled, documented, and traceable.
• Coordinate testing priorities based on production and business needs.
• Assign or route samples to the appropriate laboratory personnel for testing.
• Maintain accurate sample status and laboratory testing records.
• Monitor pending testing and follow up on samples approaching required completion dates.
• Communicate testing status, delays, missing information, or discrepancies to Quality and appropriate departments.
• Coordinate samples requiring third-party/external laboratory testing, including documentation, shipment, and result tracking.
• Receive and organize external laboratory results and Certificates of Analysis (COAs) for Quality review.
• Maintain proper sample storage and organization according to established procedures.
• Assist with laboratory documentation, filing, scanning, and record retention.
• Support investigation of sample discrepancies, missing samples, or documentation errors.
• Ensure laboratory intake activities follow applicable GMPs, SOPs, FDA requirements, and company quality standards.
• Maintain laboratory areas and sample storage locations in an organized and audit-ready condition.
• Support internal, customer, and regulatory audits as needed.
• Perform other laboratory coordination and administrative duties as assigned.
Qualifications
• High school diploma or equivalent required; Associate degree in Science, Quality, Laboratory Technology, or related field preferred.
• 1–3 years of experience in a laboratory, quality, pharmaceutical, nutraceutical, food, or manufacturing environment preferred.
• Basic understanding of GMP and laboratory documentation practices.
• Strong organizational skills and attention to detail.
• Ability to manage multiple samples and priorities simultaneously.
• Strong written and verbal communication skills.
• Comfortable working with laboratory databases, ERP systems, Microsoft Excel, and electronic documentation.
• DEACOM experience is a plus.
