This role will be instrumental in supporting the launch and ongoing success of our new location in Flower Mound, TX.

The Business Administrator owns the reliability, consistency, and continuous improvement of site administrative operations supporting the Flower Mound plant. This role is accountable for workforce administration, payroll and timekeeping validation, recruiting and onboarding coordination, employee records, site communications, safety and workers’ compensation documentation, business reporting, event and audit readiness, policy administration, and cross-functional follow-through. The position uses sound judgment, discretion, data, and standard work to remove administrative friction, strengthen compliance, improve employee and leadership support, and build scalable systems that support current operations and future growth. This position reports directly to the Plant General Manager with a dotted-line relationship to the Human Resources Manager at the Perry, Florida headquarters.

Supervisory Responsibilities: None. This role leads work through influence, process ownership, cross-functional coordination, clear expectations, timely follow-up, and escalation. The position may lead administrative projects, temporary teams, vendors, or employee-engagement initiatives without direct reports.

Requirements:

Essential Duties & Responsibilities:

  • Owns the accuracy, timeliness, consistency, and continuous improvement of site administrative processes supporting people, operations, leadership, and business growth.
  • Exercises independent judgment in interpreting and applying company policies, procedures, and business practices; provides consistent guidance and escalates exceptions, risks, or unresolved issues appropriately.
  • Coordinates recruiting support, candidate logistics, pre-employment administration, onboarding, orientation, employee records, status changes, and offboarding activities in partnership with Human Resources and plant leadership.
  • Represents the organization at recruiting events, job fairs, community outreach programs, workforce-development activities, and networking events that support staffing and employer visibility.
  • Owns site-level payroll and timekeeping validation by reviewing workforce data, approvals, exceptions, missed punches, schedules, and supporting records; investigates discrepancies and drives timely correction before submission deadlines.
  • Maintains accurate, secure, and accessible employee and administrative records in accordance with company requirements, retention expectations, confidentiality standards, and established access controls.
  • Owns site-specific safety, incident, and workers’ compensation administration, including timely documentation, record maintenance, required communication, follow-up coordination, and support for management, employees, Human Resources, Safety, and third-party administrators.
  • Coordinates administrative readiness for executive visits, customer audits, leadership meetings, employee events, community activities, training sessions, and other business-critical events.
  • Owns site communication routines and administrative follow-through by coordinating notices, meeting materials, leadership requests, employee communications, action tracking, deadlines, and escalation of incomplete commitments.
  • Serves as a cross-functional liaison among Operations, Human Resources, Finance, Safety, Quality, Information Technology, Sales, Customer Service, vendors, and external stakeholders to resolve administrative barriers and support business objectives.
  • Creates, documents, implements, audits, and improves administrative SOPs, work instructions, checklists, calendars, templates, records, and standard work to increase consistency, compliance, continuity, and scalability.
  • Converts tribal knowledge and undocumented administrative practices into repeatable processes that can be trained, measured, transferred, and sustained as the Flower Mound operation grows.
  • Uses ERP, HR, payroll, timekeeping, expense, recruiting, safety, training, and business data to validate accuracy, identify risks, support decisions, and communicate actionable information to leadership.
  • Creates, tracks, monitors, and improves administrative KPIs and service measures tied to payroll accuracy, onboarding completion, recruiting support, record accuracy, response time, training and documentation completion, incident reporting, action closure, audit readiness, and process reliability.
  • Prepares accurate reports, presentations, metrics, business analyses, meeting materials, and decision support for plant leadership and cross-functional partners.
  • Identifies recurring administrative breakdowns, investigates root causes, implements corrective actions, verifies results, and updates standard work to prevent recurrence.
  • Supports leadership with organizational planning, workforce administration, employee engagement, communications, change management, policy implementation, and special initiatives aligned with plant and company objectives.
  • Coordinates vendors, office services, supplies, records, schedules, facilities-related administrative needs, and other site support activities within assigned authority and budget expectations.
  • Maintains high standards of professionalism, confidentiality, discretion, responsiveness, and customer service when handling employee, leadership, business, payroll, safety, and personnel information.
  • Builds trust across the site by communicating clearly, following through on commitments, resolving issues promptly, and applying processes consistently and respectfully.
  • Provides continuity for critical administrative responsibilities through cross-training, documented backup plans, recurring calendars, and organized records.
  • Performs other related duties and special projects as assigned in support of plant and organizational goals.

  • Working knowledge of recruiting support, onboarding, employee records, payroll and timekeeping validation, workforce administration, safety recordkeeping, workers’ compensation documentation, and employment-practice compliance.
  • Ability to accurately use HR, payroll, timekeeping, ERP, expense, recruiting, safety, training, document-management, and related business systems.
  • Ability to use data to identify discrepancies, evaluate process performance, communicate risks, and support leadership decision-making.
  • Proficient in Microsoft Office tools including Word, Excel, PowerPoint, Outlook, OneDrive, SharePoint, Teams, Forms, and related business systems.
  • Ability to prepare clear reports, presentations, correspondence, procedures, meeting materials, and employee communications.
  • High level of confidentiality and discretion when handling employee, payroll, medical, safety, leadership, and business information.
  • Ability to build productive relationships and work effectively with employees, managers, executives, Human Resources, vendors, and external stakeholders.
  • Reasoning ability to define problems, collect and validate data, establish facts, evaluate options, interpret guidance, and draw valid conclusions.
  • Mathematical ability to apply basic arithmetic, percentages, ratios, payroll and time calculations, trend analysis, and business metrics to practical situations.
  • Language skills sufficient to read and interpret policies, procedures, business correspondence, reports, safety documentation, employment guidance, and regulatory requirements; ability to communicate findings and requirements clearly.

Education & Experience:

  • High school diploma or equivalent required; bachelor’s degree in Business Administration, Human Resources, Management, or a related field preferred.
  • Minimum 3 years of progressively responsible experience in business administration, office management, human resources, operations support, or a related business function required.
  • Experience coordinating multiple business functions, including administrative operations, recruiting and onboarding support, employee records, payroll or timekeeping, safety documentation, and compliance activities preferred.
  • Experience creating or improving administrative processes, SOPs, templates, records, and cross-functional workflows preferred.
  • Experience preparing leadership reports, presentations, metrics, analyses, meeting materials, or action tracking preferred.
  • Experience using HR, payroll, timekeeping, ERP, expense, recruiting, safety, or document-management systems preferred.
  • Experience in a manufacturing, distribution, construction, or operational environment preferred.
  • Experience supporting organizational growth, startup, expansion, change management, or workforce scaling preferred.

Physical Demands:

  • Must be able to communicate effectively with employees, applicants, vendors, visitors, external partners, and management.
  • Must be able to frequently operate a computer, phone, printer, scanner, and other office equipment.
  • Must be able to remain in a stationary position for extended periods and move throughout office and production areas as business needs require.
  • Must be able to visually review documents, records, computer screens, reports, forms, and detailed data for accuracy.
  • Must be able to occasionally move files, supplies, event materials, and office items weighing up to 20 lbs.
  • Must be able to work in office and manufacturing environments with exposure to production noise, moving equipment, and varying temperatures when supporting plant activities.
  • Regular office hours are Monday through Friday from 8:00 a.m. to 5:00 p.m.; additional hours may be required to support payroll deadlines, employee needs, audits, events, visits, incidents, or organizational priorities.

Work Environment

Work is performed primarily in an office environment with regular interaction in manufacturing and operational areas. When entering production areas, the employee may be exposed to noise, moving equipment, varying temperatures, and other conditions requiring adherence to site safety rules and PPE requirements.
