The Sr. Assistant Manager supports the Sr. Property Manager in driving property performance, operational consistency, and an exceptional resident experience. This role helps oversee day-to-day property operations, financial performance, leasing activity, resident account management, compliance, vendor coordination, maintenance partnership, and reporting.

Essential Duties and Responsibilities:

Meet or exceed budgeted NOI

  • Act as Property Manager in their absence, ensuring continuity of operations and resident service.
  • Review property financials and identify opportunities to improve property performance and NOI.
  • Assist with annual budget preparation, monthly forecasting, and monthly variance analysis.
  • Monitor occupancy, renewal, delinquency, and collection metrics and recommend action plans.
  • Facilitate cash management protocols:
  • Accounts receivables: track online payments and process manual payments
  • Accounts payable: financial coding, invoice entry in software, and mailing checks
  • Budget management: review budgeted activity to ensure timely invoicing
  • Manage resident delinquency, including late notices, eviction action filing, rent write-offs, and accounts sent to a third-party collection agency.
  • Manage and track changes in rentable items.
  • Facilitate amenity reservations to ensure timely payment collection.
  • Analyze financial information, identify trends, and recommend opportunities to improve property performance.

Support team and property operations

  • Facilitate daily team meetings using agenda to help with team accountability and meeting goals.
  • Support with internal and external audits and compile findings to project lead
  • Partner with the maintenance team to monitor work order completion, make-ready status, and resident satisfaction.
  • Coordinate vendor relationships, obtain bids, and track service contract compliance.
  • Lead special projects, operational initiatives, and process improvement efforts.
  • Ensure compliance with Fair Housing, company policies, and all applicable local, state, and federal regulations.
  • Conduct periodic audits of resident files, lease documentation, and account records to ensure compliance and accuracy.
  • Support leasing and renewal processes by tracking renewal status, identifying residents who need additional leasing follow-up, entering proposed rental rates and monthly specials, and providing accurate information for renewal letter preparation.

Provide resident support

  • Manage move-in and move-out paperwork to ensure proper lease file and deposit account compliance.
  • Communicate with residents regarding resident accounts.
  • Manage escalated resident concerns and provide resolutions for complex customer service issues.
  • Assist in developing and executing resident retention and renewal strategies.
  • Coordinate resident events and services.

Requirements:

Minimum Qualifications:

  • Bachelor’s degree or three (3) years previous experience in real estate, property management, or other customer service-related fields
  • High energy level, comfortable performing multifaceted projects in conjunction with daily activities.
  • Superior interpersonal abilities – ability to get along with diverse personalities and talent.
  • Resourceful and well organized
  • Demonstrated proficiency in working with computers including word processing, excel, calendar management, software/database
  • Experience with affordable housing programs, including LIHTC (Tax Credit), HUD-subsidized housing, and Housing Choice Voucher (Section 8) programs.

Preferred Qualifications:

  • Appfolio experience
  • Bilingual (Somali or Spanish preferred)
