Contracts Administrator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Contracts Administrator based in the United States.

This part-time, remote role offers the opportunity to support the full lifecycle of U.S. federal government contracts in a dynamic consulting environment.
You will work across pre-award and post-award activities, helping ensure contracts are compliant, accurate, and executed on time.
The position partners closely with business development, program management, finance, HR, and executive leadership.
You will review solicitations, negotiate agreements, manage modifications, and monitor key contractual obligations.
Your expertise in FAR, DFARS, and federal acquisition practices will help identify risks and support sound business decisions.
The role is well suited to a detail-oriented professional who can manage multiple priorities while maintaining strong documentation and compliance standards.
This is a remote position with occasional onsite attendance at the organization's Vienna, Virginia headquarters, typically once per month.

Accountabilities
  • Manage the full contract lifecycle for federal prime contracts, task orders, subcontracts, and related agreements, from proposal support through closeout.
  • Review and analyze RFPs, RFIs, RFQs, solicitations, contract modifications, and other procurement documentation to identify requirements, risks, and compliance considerations.
  • Prepare, review, negotiate, and administer contracts, subcontracts, teaming agreements, NDAs, consulting agreements, and other contractual documents.
  • Partner with business development and capture teams to identify contractual obligations, proposal requirements, and potential risks before submission.
  • Ensure contractual actions comply with FAR, DFARS, agency-specific requirements, and applicable organizational policies.
  • Support negotiations with government customers, prime contractors, subcontractors, vendors, and other external parties.
  • Review subcontractor terms and conditions and ensure appropriate contractual flow-down provisions are included.
  • Maintain accurate and comprehensive contract files, including modifications, correspondence, deliverables, funding information, milestones, and contract status.
  • Track option periods, periods of performance, funding changes, deliverables, and other critical contractual milestones.
  • Support contract kickoff meetings and provide ongoing contractual guidance to program managers during contract execution.
  • Collaborate with finance and accounting teams on funding, invoicing requirements, indirect rates, billing terms, and related contractual matters.
  • Assist with organizational conflict of interest requirements, small business reporting, regulatory compliance, and other federal acquisition obligations.
  • Monitor changes to federal acquisition regulations and communicate relevant impacts to internal stakeholders.
  • Develop contract status reports, dashboards, and other updates to support leadership decision-making.
  • Support internal and external audits involving federal contracts and contribute to continuous improvements in contract administration processes.
Requirements
  • Bachelor's degree in Business Administration, Contracts Management, Finance, Legal Studies, or a related field, or equivalent relevant experience.
  • At least 3 years of experience administering U.S. federal government contracts within a government contracting environment.
  • Direct experience in contracts administration for a federal contractor, subcontractor, vendor, or similar organization.
  • Experience working within a consulting environment.
  • Strong knowledge of FAR, DFARS, and other federal acquisition regulations.
  • Experience supporting both pre-award and post-award contract administration activities.
  • Demonstrated ability to review solicitations, negotiate contractual terms, and process contract modifications.
  • Working knowledge of contract types including Firm Fixed Price (FFP), Time & Materials (T&M), Cost Reimbursable, and IDIQ contracts.
  • Strong analytical, organizational, and documentation skills with exceptional attention to detail.
  • Excellent written and verbal communication skills and the ability to work effectively with internal and external stakeholders.
  • Ability to manage multiple priorities, deadlines, and contractual requirements in a fast-paced environment.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • NCMA certification such as CFCM, CPCM, or CCCM is preferred.
  • Experience supporting proposals for Department of Defense or federal civilian agencies is advantageous.
  • Experience with subcontract administration and teaming agreements is preferred.
  • An active Secret clearance or the ability to obtain one is preferred.
  • Ability and willingness to work part-time, approximately 20–30 hours per week, with occasional onsite attendance in Vienna, Virginia.
