The Onboarding Specialist will play a key role in creating a seamless and compliant experience for new employees joining a mission-driven care organization.
This position supports the full onboarding lifecycle, ensuring accurate documentation, regulatory compliance, and timely system setup.
You will collaborate with internal teams, applicants, and managers to help new hires transition smoothly into their roles.
The role requires strong attention to detail, empathy, confidentiality, and the ability to manage sensitive information effectively.

The Onboarding Specialist will manage onboarding operations, maintain accurate employee records, and ensure compliance with employment requirements while delivering a positive experience for new hires and internal stakeholders.
- Manage the onboarding process for assigned applicants from initial preparation through completion.
- Ensure all new hires meet company, federal, and state employment compliance requirements.
- Create and maintain employee profiles across multiple systems to ensure accurate tracking and timely information updates.
- Complete employment verification processes, including background checks, eligibility verification, I-9 completion, Social Security verification, certification authentication, and related screenings.
- Maintain applicant records within applicant tracking systems and ensure all documentation is complete, accurate, and properly stored.
- Collect, review, and process employee paperwork while maintaining high standards of quality and confidentiality.
- Manage confidential records, including employee files, health-related information, and protected personal data in accordance with policies and procedures.
- Communicate updates, policy changes, and onboarding-related information to managers and relevant stakeholders.
- Participate in team meetings, training sessions, and organizational initiatives as needed.
- Support additional administrative activities and operational tasks as assigned.
The ideal candidate is a detail-oriented and empathetic professional with experience in onboarding, recruiting, human resources, or administrative operations who can manage sensitive information while supporting a positive employee experience.
- Bachelor’s degree in business, psychology, communications, human resources, or a related field preferred; high school diploma or GED required.
- Previous experience in recruiting, onboarding, HR operations, or employee administration preferred.
- Familiarity with applicant tracking systems and onboarding platforms is an advantage.
- Strong written and verbal communication skills with the ability to interact effectively with applicants, managers, and team members.
- High level of professionalism, empathy, maturity, and teamwork skills.
- Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities.
- Ability to handle confidential and sensitive personal information with discretion.
- Self-motivated, reliable, and capable of working independently in a remote environment.
- Intermediate to advanced computer skills, including proficiency with Microsoft Office applications such as Word, Excel, and PowerPoint.
- Ability to remain organized and productive while performing primarily sedentary computer-based work.
