Lead Medical Assistant

Location:Chicago, IL

Lead the Frontline of Patient Care at EPIC Health

Position Summary

The Lead Medical Assistant serves as a key clinical and operational resource within the practice. This individual supports daily clinic operations, oversees workflow optimization, assists with quality assurance initiatives, provides ongoing training and competency validation for Medical Assistants, and collaborates with leadership to maintain efficient patient flow and operational consistency.

This role combines hands-on clinical responsibilities with leadership, coaching, quality oversight, inventory management, and process improvement initiatives.

Essential Duties & Responsibilities

Team Leadership & Staff Development

  • Provide day-to-day leadership, guidance, and support to Medical Assistants.
  • Lead by example in professionalism, accountability, patient care standards, and workflow efficiency.
  • Assistwith onboarding, orientation, and cross-training of new team members.
  • Train andvalidatecompetency for clinical procedures, point-of-care testing, injections, specimen collection, and workflow processes.
  • Conduct ongoing weekly/monthly skills checks and reinforce compliance with clinical standards.
  • Support leadership with staffcoaching,performance feedback, workflow reinforcement, and development planning.
  • Assistwith troubleshooting workflow barriers andidentifyingoperational improvement opportunities.
  • Support implementation and adoption of new workflows, initiatives, and clinical processes.

Clinical Support & Patient Care

  • Room patients and prepare exam rooms.
  • Obtain and document vital signs and medical histories.
  • Administer injections andassistwith procedures.
  • Perform phlebotomy and specimen collection (if applicable).
  • Ensureaccurate,timely, and complete documentation within the EHR.
  • Support providers with patient throughput, workflow efficiency, and time management.
  • Deliver patient-centered care with professionalism, empathy, and effective communication.

Workflow & Clinic Operations

  • Help oversee daily clinic flow tomaintainoperational efficiency and positive patient experiences.
  • Monitor patient throughput and door-to-door times,identifyingdelaysand escalating operational barriers as needed.
  • Audit workflows to improve communication between front desk and clinical teams.
  • Support continuous quality improvement (CQI) initiatives and process standardization across the clinic.

Laboratory, Quality Assurance & Compliance

  • Oversee daily lab QA/QC processes and ensure completion of required controls and documentation.
  • Maintain lab binders, procedure logs, competency records, and reconciliation documentation.
  • Ensure compliance with regulatory, safety, infection control, and clinical quality standards.
  • Monitorexpirationdates, inventory accuracy, and completion of required quality checks.

Inventory & Supply Management

  • Monitor andmaintaininventory of medical supplies, vaccines, lab materials, and equipment.
  • Manage SIMS/Kanban inventory workflows and ensuretimelysupply replenishment.
  • Ensure exam rooms and clinical areasremainclean, organized, compliant, and fully stocked.

Patient Experience & Communication

  • Foster a welcoming, respectful, and professional environment for patients and staff.
  • Address patient concerns with professionalism, urgency, and empathy.
  • Promote a culture of teamwork, accountability, and service excellence.

Qualifications

Required Qualifications

  • Previousexperience as a Medical Assistant or similar clinical role.
  • Strong understanding of clinical workflows, patient care procedures, and outpatient operations.
  • Experience with Athena EHR and Microsoft Office.
  • Excellent communication, organizational, multitasking, and problem-solving skills.

Preferred Qualifications

  • 2+ years of experience in a lead or senior Medical Assistantrole;or 6+ years of Medical Assistant experience.
  • Medical Assistant certification (CMA, RMA, or equivalent) preferred.
  • Experience in primary care or outpatient clinic settings preferred.

Performance Expectations

  • Maintainhigh standardsof clinical quality, documentation accuracy, and operational consistency.
  • Ensuretimelycompletion of QA/QC logs, competency validations, and inventory processes.
  • Promote accountability, efficiency, and adherence to organizational standards.
  • Contribute to continuous improvement initiatives that enhance patient care and clinic operations.
