About This Position
Position Summary:
The Pediatric Therapy Scheduler is responsible for coordinating and managing therapy appointments for pediatric clients across multiple disciplines, including speech, occupational, physical, and behavioral therapies. This role serves as a key point of contact for families and clinical staff, ensuring efficient scheduling, accurate documentation, and effective communication. The Scheduler supports clinic operations by maintaining organized schedules, optimizing provider utilization, and delivering a positive, family-centered experience while adhering to organizational policies and confidentiality requirements.
Essential Duties and Responsibilities:
- Schedule, coordinate, and manage therapy appointments for pediatric clients across multiple therapy disciplines
- Serve as a primary point of contact for families regarding scheduling, cancellations, and appointment changes
- Communicate effectively with therapists and clinical staff to optimize schedules and provider availability
- Maintain accurate and up-to-date scheduling records in electronic health record (EHR) or scheduling systems
- Monitor and manage waitlists, cancellations, and rescheduling to maximize clinic productivity
- Verify appointment details and ensure compliance with clinic policies and procedures
- Support clinic operations by coordinating schedules for evaluations, ongoing therapy, and team services
- Maintain confidentiality and comply with HIPAA and organizational privacy standards
- Provide excellent customer service and support a positive experience for families and staff
Qualifications:
- High school diploma or equivalent
- Previous experience in scheduling, administrative support, or customer service (healthcare preferred)
- Strong organizational and time-management skills
- Effective verbal and written communication skills
- Basic computer proficiency, including scheduling software, EHR systems, and email
- Experience working in a healthcare or pediatric therapy setting
- Familiarity with medical terminology and therapy services (PT, OT, SLP, ABA)
- Knowledge of insurance verification and authorization processes
- Customer service experience working with families or children
