Legal Coordination Assistant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Legal Coordination Assistant based in Brazil.

This is a fully remote opportunity supporting day-to-day legal operations through organization, coordination, and client communication.
The role helps keep legal matters moving by managing information, schedules, documents, and administrative priorities.
You will work closely with legal professionals to support deadlines, update documentation, and coordinate appointments and case-related tasks.
The position requires someone who is highly organized, proactive, detail-oriented, and dependable in following through on responsibilities.
You will also communicate directly with clients, ensuring missing information is collected and questions or requests are handled professionally.
Success in this role depends on balancing multiple priorities while maintaining accuracy, responsiveness, and consistency.
It is well suited to a legal support professional seeking a long-term remote opportunity within a structured and collaborative environment.

Accountabilities:
  • Use case management, communication, scheduling, and document tools such as CasePeer, GoTo, Outlook, and Adobe to support daily legal operations.
  • Assist with legal drafting tasks and make requested updates or modifications to legal documents.
  • Communicate with clients professionally and helpfully, ensuring information is clear, accurate, and timely.
  • Review client questionnaires, forms, and other submitted information to identify missing or incomplete details and follow up with clients as needed.
  • Coordinate depositions, medical appointments, meetings, and other scheduled activities, identifying and organizing any documents required for each appointment.
  • Assist with discovery-related tasks and other administrative legal processes.
  • Help the legal team manage deadlines, priorities, assignments, and daily workflows.
  • Maintain accurate and organized case information and documentation.
  • Track assigned responsibilities and provide reliable follow-through to keep legal matters progressing.
  • Support the team in a fast-paced environment while maintaining accuracy, consistency, and attention to detail.
Requirements:
  • At least 1 year of experience as a Legal Assistant, Legal Support Specialist, or in a related legal support role, and/or a bachelor’s degree in Legal Studies or a related field.
  • Strong organizational and task-coordination skills, with the ability to manage multiple priorities and deadlines.
  • Proactive approach to communication, problem-solving, and day-to-day responsibilities.
  • Excellent attention to detail and ability to maintain accuracy across legal documents and client information.
  • Strong written and verbal English communication skills.
  • Professional and client-focused communication style.
  • Ability to assist with document drafting, editing, and updates.
  • Comfortable working with calendars, email platforms, case management systems, and document-management tools.
  • Familiarity with CasePeer, GoTo, Outlook Email, Outlook Calendar, and Adobe is preferred.
  • Reliable follow-through and strong ownership of assigned tasks.
  • Ability to work effectively in a fast-moving legal environment while maintaining organization and consistency.
  • Availability to work Monday to Friday, 8:30 AM–5:30 PM EST/EDT.
