Job Description
POSITION SUMMARY:
Under the supervision of the Pottawatomie County Clerk, the A/P Clerk is a non-exempt position under FLSA. This position provides clerical support for the Pottawatomie County Clerk’s Office with special focus on Accounts Payable and Voter Registration.
ESSENTIAL FUNCTIONS (required):
1. Processes account payables; properly input voucher payment data and confirms current W-9.
2. Provides courteous & professional service for internal and external customers.
3. Properly inputs approved journal entries, fund transfers and budget adjustments.
4. Review any motor vehicle property tax statements received from the County Treasurer on a timely basis.
5. In conjunction with Election Supervisor, will help maintain voter registration data base:
a. Adding, changing, or forwarding all voter registration applications that are received.
b. Generate and prepare voter registration cards to be mailed out weekly.
c. Deleting and purging all non-valid voters according to National Voter Registration Act. As well as maintaining the voter registration data base according to the guidelines set up by NVRA.
d. Printing and preparing of poll books as needed for all elections and assists with posting voter history.
6. Process advance and early voters.
7. In conjunction with the Election Supervisor, assist with elections, election training and election abstracts.
8. Filing and scanning of election documents.
MARGINAL FUNCTIONS
1. Assist customers in the process of homestead applications as well as any service provided by the County Clerk’s Office.
2. Performs other duties as deemed necessary or assigned.

KNOWLEDGE, SKILL AND ABILITY:
The employee must have a thorough knowledge of computer software, a working knowledge of mathematics, bookkeeping and elections. The employee must be able to read and interpret maps and signatures on voter registrations cards for election purposes. The employee must have excellent interpersonal, bookkeeping, office practices, and organizational and oral communication skills.
Problem Solving: The position requires the ability to read, comprehend and write. The person must have the ability to effectively present information in one-on-one and small group situations.
Decision Making: The work involves the performance of specific, routine operations that include a few separate tasks or procedures. The job contributes to the overall smooth function of the Clerk’s office.

Supervision/Accountability: Works independently with occasional supervision from the Pottawatomie County Clerk, with no supervisory duties.
Personal Relations: Attitude is very important; the employee shall maintain a good working and relations attitude with all contacts. Daily contact with the general public, co-workers, supervisory personnel and elected or appointed officials is expected.
EDUCATION/TRAINING/EXPERIENCE:
One year of similar or related experience is required. Employee is expected to acquire the necessary information and skills to perform the essential job functions reasonably well within six months from the date of hire.
Education: A high school diploma, GED, or equivalent is required. Technical or some college level courses in Accounting, Finance, or mathematics is desired, supplemented by two years of job related experience preferred.
