BUSINESS UNIT: BeyondReach

FUNCTION: Sourcing Operations

REPORTS TO: Director of Operations

CLASSIFICATION: Non-Exempt

LOCATION: Cedar Rapids, Iowa (Hybrid)

EDUCATION: Bachelor’s degree in business, Communication, Supply Chain or equivalent experience

EXPERIENCE: 2-3 years’ experience

You’ll be the administrative and communication hub of the sourcing team — keeping our project management system (Sitetracker) current, coordinating schedules, and serving as a reliable point of contact who keeps vendors and clients informed and orders moving. Much of this role is proactive outreach: chasing status updates, confirming details, and making sure the right people have the right information at the right time. Your job is to keep data clean, communication flowing, and anything from falling through the cracks.

What You’ll Accomplish and Experience

  • Serve as a primary point of contact for vendors and clients by confirming orders, requesting status updates, scheduling site surveys, and ensuring open items are resolved.
  • Maintain accurate Sitetracker records by updating project tasks, milestone dates, ownership fields, and order statuses to reflect current project progress.
  • Coordinate site surveys, provisioning calls, reminders, and follow-ups by aligning vendors, clients, and internal team members across U.S. time zones.
  • Track vendor orders, agreements, approvals, aging items, missing information, and upcoming deadlines by proactively monitoring project activity and identifying potential issues early.
  • Manage spreadsheet and tracker accuracy by keeping Excel, Google Sheets, and related tracking tools organized, current, and aligned with active project work.
  • Prepare and communicate clear status updates by relaying key information between vendors, clients, and internal stakeholders.

Desirable Previous Experience

  • Strong written communication skills, with the ability to engage professionally with vendors and clients through email, Slack, and video meetings.
  • Confident and courteous follow-up style, with the persistence to keep outstanding items moving until questions are answered and next steps are clear.
  • Highly organized and detail-oriented, with a strong ability to identify missing dates, incomplete information, and records that do not match current project status.
  • Comfortable working in spreadsheets and learning new tools, including CRM and project management systems.
  • Self-directed, dependable, and process-minded, with the judgment to manage recurring tasks and raise issues before they become roadblocks.
  • Hands-on experience with Sitetracker, Salesforce, or a comparable project management or CRM platform preferred.
  • Experience in telecom, logistics, procurement, operations, customer support, or another role requiring frequent coordination and follow-through preferred.
