Position Description:
POSITION SUMMARY
The Accounting Administrative Coordinator provides administrative and operational support to the Accounting Department. This position is responsible for assisting with a variety of clerical, organizational, and data management functions that contribute to the efficient operation of the department. While prior accounting experience is not required, the successful candidate must possess strong administrative experience, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
PRIMARY DUTIES
- Provide administrative support to the Director of Accounting and Accounting Department staff.
- Maintain department records, files, and documentation in both electronic and paper formats.
- Prepare, organize, and distribute reports, correspondence, and other departmental communications.
- Enter, update, and verify information within accounting and company software systems.
- Assist with document collection, processing, and tracking to support accounting workflows.
- Assist with invoice, purchase order, vendor, and customer documentation processes.
- Maintain confidentiality of sensitive financial and business information.
- Support month-end, year-end, and audit-related administrative activities, as requested.
- Provide exceptional internal customer service to employees, managers, vendors, and other business partners.
- Perform other administrative duties and special projects as assigned.
Position Requirements:
MINIMUM QUALIFICATIONS
- Minimum of five (5) years of administrative or office support experience.
- High school diploma or equivalent required.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to learn accounting software and departmental processes.
- High level of accuracy and attention to detail.
- Ability to handle confidential information with discretion.
PREFERRED QUALIFICATIONS:
- Associate's degree in Business Administration or a related field.
- Experience supporting an accounting, finance, payroll, or business operations department.
- Experience utilizing enterprise software systems, ERP platforms, or document management systems.
KNOWLEDGE, SKILLS AND ABILITIES:
- Strong administrative and clerical aptitude.
- Ability to prioritize workload and meet deadlines.
- Excellent customer service and interpersonal skills.
- Strong problem-solving and critical-thinking abilities.
- Ability to work independently with minimal supervision.
- Proficiency in data entry and maintaining accurate records.
- Adaptability and willingness to learn new systems and processes.
PHYSICAL DEMANDS
- Ability to remain seated for extended periods while working at a computer.
- Frequent use of hands and fingers for typing and operating office equipment.
- Ability to occasionally lift and carry items weighing up to 20 pounds.
- Ability to communicate effectively in person, via telephone, and through electronic communication.
WORK ENVIRONMENT
- Standard office environment.
- Regular use of computers, telephones, printers, and other office equipment.
- No travel required.
- No supervisory responsibilities.
