In Touch Pharmaceuticals is a growing long-term care pharmacy dedicated to providing exceptional pharmacy services to healthcare facilities and the residents they serve. We are looking for a motivated, detail-oriented Collections Specialist to join our Billing Services team!

This position plays an important role in maintaining accurate financial records, ensuring timely collections, and supporting the processing and reconciliation of payments. The ideal candidate is organized, dependable, comfortable working with numbers and technology, and enjoys problem-solving in a fast-paced, team-oriented environment.

This position works closely with our Pharmacy Billing, Accounts Receivable, and Finance teams and reports to the AR Coordinator and VP of Finance.

• Monitor accounts receivable balances and aging reports to identify and follow up on outstanding payments.

• Communicate professionally with long-term care facilities, insurance payers, and other customers regarding unpaid or underpaid balances.

• Prepare and distribute invoices, statements, and supporting billing documentation.

• Research and resolve billing discrepancies, payment variances, credits, and account adjustments.

• Accurately process and apply incoming payments, including checks, ACH transfers, wire transfers, credit cards, lockbox payments, and electronic remittance advices (ERAs).

• Match payments to the appropriate customer accounts, invoices, or claims.

• Reconcile daily cash receipts and investigate unapplied, misapplied, or unidentified payments.

• Maintain accurate account records and documentation of collection activities.

• Collaborate with internal departments to resolve account discrepancies and support timely reimbursement.

• Assist with month-end reconciliation, reporting, and additional Billing Services responsibilities as needed.

• Follow established company policies, procedures, and confidentiality requirements.

• High school diploma or equivalent required.

• Strong attention to detail and commitment to accuracy.

• Excellent organizational and time-management skills.

• Ability to multitask and prioritize responsibilities in a deadline-driven environment.

• Strong analytical, critical-thinking, and problem-solving abilities.

• Professional written and verbal communication skills.

• Comfortable working with numbers, financial records, and multiple computer systems.

• Proficiency with Microsoft Office, particularly Excel.

• Ability to work both independently and collaboratively.

• Dependable, adaptable, and willing to learn.

• Ability to commute to our Valparaiso, Indiana location.

• Previous experience in accounts receivable, billing, collections, payment posting, or cash application.

• Experience in long-term care pharmacy, healthcare billing, or insurance reimbursement.

• Familiarity with pharmacy claims, third-party payers, and reimbursement procedures.

• Experience using pharmacy billing software, accounting systems, or enterprise resource planning (ERP) systems.

• Experience reconciling customer accounts, researching payment discrepancies, or managing aging reports.
