Overview

We are seeking an organized, detail-oriented Office Manager to join our growing Louisville Team. This is a full-time, on-site role.

The ideal candidate is proactive, professional, and excels at creating a smooth, efficient office environment. In this role, you’ll support daily operations, assist leadership, manage administrative tasks, and help ensure our team and customers receive exceptional service. You’ll play an essential part in keeping the office running seamlessly as we continue to grow.

Responsibilities

  • Manage daily office operations
  • Answer and route phone calls, emails, and incoming inquiries with professionalism
  • Handle scheduling, calendar management, and coordinating team meetings
  • Process invoices, purchase orders, and collect payments from customers
  • Maintain office supplies and equipment
  • Assist project managers and leadership with administrative tasks as needed
  • Ensure documents, records, and systems are up-to-date and accurately maintained
  • Help create a positive and welcoming environment for employees and visitors
  • Identify opportunities to streamline processes and improve office efficiency

Qualifications

  • Previous office management or administrative experience required
  • Strong organizational skills with excellent attention to detail
  • Effective communication skills — both written and verbal
  • Ability to multitask and prioritize in a fast-paced environment
  • Proficiency with standard office software (Microsoft Office, Google Workspace, etc.)
  • Experience with basic invoicing or administrative financial tasks is a plus
  • Professional, reliable, and solutions-oriented mindset
  • Strong customer service skills and ability to interact with people at all levels
  • Must be comfortable working on-site, Monday–Friday
