Medical Records Coordinator contributes to the overall efficiency and functioning of the Wellness Center by greeting/triaging student patients, scheduling appointments, maintaining and tracking confidential health and immunization records, managing student workers and tending to all administrative tasks (including but not limited to medical and office supply management, budget/billing, front desk coordination), assigned to him/her by the Wellness Team..


Essential Duties and Responsibilities

  • Assist students seeking services at the Wellness Center.
  • Coordinate with the medical/counseling staff to assure proper triaging of patients. Manage appointments for clinicians.
  • Manage, review, maintain all health and immunization requirement records, compliance and outreach.
  • Assist with completing the mandated NJ State Annual Immunization Compliance and meningitis vaccination reports.
  • Stays abreast of changes with state immunization requirements.
  • Provide support to health and counseling staff.
  • Maintain all medical records (electronic and paper files).
  • Maintain patient/client confidentiality in compliance with all FERPA and HIPAA requirements.
  • Responsible for data entry and records of health and immunization requirements, vaccines, medications and supplies.
  • Coordinate with the Bursar’s Office for student billing, registration holds and other duties as necessary.
  • Work with the IT department in regards to computer programs and reports related to the health records.
  • Ensure proper destruction of health and immunization records every 10 years.
  • Maintains referral and information guides for off-campus service providers.
  • Maintains accurate records for vaccines and medications.
  • Maintains statistical data base for all medical encounters.
  • Communicates with administration regarding immunization compliance as indicated.
  • Process requests and retrieval of personal health records requested by students.
  • Coordinate with facilities regarding maintenance issues of the Wellness Center.
  • Participate in Student Affairs divisional programs and activities.
  • Provides support to the Wellness Team as requested.
  • Performs other duties as assigned..
  • Salary Range: $35,000 - $40,000



    Qualifications


  • Bachelor’s degree required, Master’s degree preferred.
  • Proficiency in Microsoft Excel, Word and Power Point preferred.
  • Excellent communication skills and follow-up ability.
  • Ability to work with a diverse population of students, faculty, and staff.
  • Willingness to work in a challenging and fast paced environment.
