This role sits at the center of complex engineering, procurement, and construction workflows, ensuring critical project documentation remains accurate, traceable, and accessible. You will help build and operate a scalable document control function supporting multiple active projects and sites. The position offers significant ownership, from establishing document structures and review processes to maintaining governance and reporting standards. You will work closely with Design, Engineering, Procurement, Construction, and project teams to keep deliverables moving efficiently. As a hands-on specialist, you will identify risks, resolve documentation issues, and continuously improve processes and systems. - Administer document management guidelines and provide governance over document control standards across active projects.
- Create and manage document and drawing review sessions through Autodesk Forma and Bluebeam, including formal reviews and Concurrent Design Reviews.
- Coordinate reviewers according to project distribution matrices, establish review periods and deadlines, and follow up on outstanding comments and approvals.
- Compile reviewer feedback into comment logs and issue consolidated comments to document issuers through formal transmittals.
- Maintain comprehensive logs of documents under review, assigned reviewers, deadlines, transmittals, and outstanding actions across projects.
- Support project kickoffs by establishing document placeholders, numbering structures, and folder locations for anticipated deliverables.
- Launch and maintain project sites in Forma, applying standardized folder structures and appropriate access permissions.
- Assemble procurement packages using engineering requisitions and referenced documentation, ensuring all required materials are complete and current before issuance.
- Verify that documents included in project and procurement packages reflect the latest registered revisions.
- Prepare weekly progress reports covering open transmittals, documents under review, upcoming deadlines, and outstanding actions.
- Provide monthly updates on project milestones, document progress, and unresolved action items.
- Log new and revised documents in Forma and provide scheduled status reports to project teams.
- Coordinate with internal teams to track assignments, project updates, deliverables, and outstanding tasks.
- Evaluate document progress and performance, identify problem areas, and recommend corrective actions.
- Support project change management processes, procedures, and systems.
- Manage system access, including permission audits, new user setup, and access removal.
- Provide first-line technical support for Forma and Bluebeam, escalating platform issues when necessary.
- Support the Document Control Manager with developing and maintaining SOPs, templates, forms, guidelines, and other documentation standards.
- Integrate document control systems with Google Workspace and other internal platforms as required.
- Perform additional document control activities and project support tasks as assigned.
Requirements:
- 5+ years of experience in document control or a related role supporting engineering, procurement, construction, or similar document workflows.
- Strong proficiency with Google Workspace, including Gmail, Docs, Sheets, and Drive.
- Working knowledge of Autodesk Construction Cloud/Forma and Bluebeam Revu, or the ability to learn these platforms quickly.
- High school diploma required; a bachelor’s degree in construction management, engineering, or a related field is preferred, with equivalent professional experience also considered.
- Strong written and verbal communication skills, including the ability to present information to groups and collaborate effectively across functions.
- Highly organized and detail-oriented, with the ability to manage high volumes of documentation, deadlines, and concurrent project requirements.
- Ability to identify risks early, communicate directly, follow through on commitments, and make sound decisions when information is incomplete.
- Comfortable taking ownership of work and operating with minimal oversight while working under the direction of Document Control and Project/Program Managers.
- Ability to work effectively in a fast-paced environment where priorities can change and processes are continuously evolving.
