Grants Associate

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Grants Associate based in Canada.

This role offers an opportunity to support impactful grantmaking initiatives that advance social inclusion and community-focused programs.
You will play a key role in managing grant administration processes, maintaining accurate data, and supporting funding operations from application through completion.
Working closely with internal teams and external partners, you will help ensure funding activities are efficient, transparent, and aligned with equity-driven practices.
The position combines operational coordination, data analysis, project support, and relationship management in a mission-focused environment.

Accountabilities:

As a Grants Associate, you will support the successful delivery of grantmaking operations by coordinating administrative processes, managing data, and contributing to continuous improvements across funding activities. You will collaborate with internal stakeholders, applicants, and community partners to ensure effective, equitable, and well-organized grant management.

  • Coordinate grant administration activities throughout the full grant lifecycle, including application tracking, review processes, award management, and payment coordination.
  • Maintain accurate grant records, documentation, agreements, and reporting materials using internal systems and established processes.
  • Support applicants, funding recipients, and internal teams by providing guidance on application platforms, documentation requirements, and grant processes.
  • Manage and improve grant administration tools, workflows, resources, and procedures to increase efficiency and accessibility.
  • Contribute to the development and implementation of equitable funding practices, policies, and operational improvements.
  • Conduct research on emerging philanthropic approaches, grant management trends, and sector practices to support continuous improvement.
  • Develop and manage surveys and data collection processes related to funding recipients, community impact, and program outcomes.
  • Maintain organized and accessible grant data using tools such as CRM platforms, Microsoft applications, and other operational systems.
  • Analyze grant and partner data to provide insights, reports, and recommendations that support funding decisions and organizational goals.
  • Prepare data summaries and reporting materials for internal stakeholders, leadership teams, and external reporting needs.
  • Support portfolio management activities, including reviewing applications, tracking deliverables, monitoring outcomes, and assisting with partner communications.
  • Provide project coordination support for special initiatives, meetings, scheduling, documentation, and operational activities.
Requirements:

The ideal candidate is a highly organized and analytical professional with experience supporting administrative processes, managing data, and coordinating projects. You should be comfortable working with diverse stakeholders, learning new systems, and contributing to initiatives focused on community impact and equitable practices.

  • Bachelor’s degree in a relevant field or an equivalent combination of education and professional experience.
  • Minimum of 2 years of professional experience supporting administrative coordination, operations, project management, grants, philanthropy, or related functions.
  • Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities and deadlines.
  • Strong data management, analytical thinking, and problem-solving abilities.
  • Ability to quickly learn and effectively use new software applications, platforms, and digital tools.
  • Experience managing databases, reporting processes, or CRM systems is preferred.
  • Experience using Salesforce or similar grant management/data management platforms is an asset.
  • Strong project coordination skills with the ability to deliver accurate, high-quality work in a fast-paced environment.
  • Customer-focused mindset with the ability to support applicants, partners, and internal teams professionally.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office tools, particularly Word, Excel, and PowerPoint.
  • Experience in philanthropy, grants management, immigration, refugee services, or social impact sectors is strongly preferred.
