Summary:

Vighter is recruiting Medical Administration Specialists to provide healthcare support and conduct basic health and medical screening assessments in Naval Medical Facilities in and around San Diego, CA. The Medical Administration Specialist is responsible for coordinating, managing, and supporting medical equipment accountability, medical logistics (MEDLOG), and Picture Archiving and Communication System (PACS) operations within healthcare facilities, military treatment facilities, federal healthcare systems, occupational health clinics, diagnostic imaging departments, and healthcare support programs.

Medical Administration Specialist support equipment lifecycle management, medical supply procurement, inventory control, PACS administration support and compliance reporting.

Principle Accountabilities:

  • Maintains accountability for assigned medical equipment inventories, ensuring all equipment is properly tracked, documented, and maintained throughout its lifecycle.
  • Coordinates medical equipment acquisition, receipt, distribution, deployment, relocation, replacement, and disposal activities.
  • Monitors equipment utilization rates and identifies opportunities to improve asset management and resource allocation.
  • Maintains equipment databases and inventory management systems to ensure accurate accountability records.  Coordinates procurement, receipt, storage, distribution, and inventory control of medical supplies, pharmaceuticals, diagnostic equipment, and clinical consumables.
  • Monitors inventory levels and usage trends to prevent stock shortages and excess inventory accumulation.
  • Maintains accurate records within medical logistics and inventory management systems.
  • Supports supply chain operations by tracking purchase orders, vendor deliveries, backorders, and inventory replenishment activities.
  • Provides administrative support for Picture Archiving and Communication System (PACS) operations.
  • Assists with management of digital imaging records and workflows.

  • Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII).
  • Performs other duties that may be assigned from time to time.

Knowledge and Skills:

  • Must have exceptional customer service skills.
  • Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
  • Ability to work in a fast-paced changing environment with limited supervision
  • Excellent organizational, scheduling and prioritization skills.

Education:

  • High School Diploma or Equivalent required. Certification is required.

Qualifications:

  • Must have a minimum of one year of experience in a clinical setting. Qualifying experience includes hospital, outpatient clinic, nursing home, or other supervised medical, nursing, or patient care facility that provided direct patient care.
  • At a minimum, the medical assistant program must be sponsored or recognized by an educational institution which is accredited by U.S. Department of Education (DOE) located at ope.ed.gov.
  • Must possess a current valid Basic Life Support (BLS) certification from one of the following approved organizations: American Heart Association (AHA) BLS for health care providers, AHA Advanced Cardiac Life Support (ACLS) certification, American Red Cross CPB/BLS for the professional rescuer, American Safety and Health Institute (ASHI) CPR and AED for healthcare providers and professional responders.

Duty Hours / On-call Requirements:

  • The expected duty hours for this position are 8 hours per day and 5 days per week. However, this position supports 24/7 operations which may require work to be conducted at night and on weekends.

Travel:

  • As required to satisfy the contractual obligations. Commuting is non-compensatory. All official travel is government funded.

Physical Requirements:

  • Must be able to sit for more than 8 hours per day.
  • Must be willing to work overtime if necessary.
  • Must be able to use an elevator or walk up and down stairs.
  • Must be able to lift up to 40 lbs. and carry up to 10 feet.
  • Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
  • Must be able to read and interpret handwritten and typewritten print.
  • Must be able to communicate by voice and detect sound by ear.
  • Must be able to perform duties in an indoor or outdoor environment.
  • Must be able to pass a criminal background investigation.
  • Must undergo Urine Drug Screening (UDS).
  • Must be a Citizen of the United States or legally authorized to work in the United States of America.
