CAL-SOAP LA Student Success Coordinator

Position Summary Under the general supervision of the Cal-SOAP L.A. Director, the Administrative Support Coordinator provides administrative and programmatic support to the Cal-SOAP (California Student Opportunity and Access Program) Consortium. The incumbent coordinates program data management, maintains the Cal-SOAP database (LACAI), generates reports, and supports compliance and reporting requirements in alignment with California Student Aid Commission (CSAC) guidelines. The position requires independent judgment, strong organizational skills, attention to detail, and the ability to manage multiple priorities in a deadline-driven environment.

Essential Functions and Responsibilities Program Data Coordination and Database Management —

50% • Coordinate and maintain accurate program data within the Cal-SOAP database (LACAI).

• Perform weekly data entry from sign-in sheets, confidential student forms, applications, and activity logs.

• Review database manuals and user guides to ensure compliance with data entry standards and best practices.

• Monitor data accuracy and completeness; communicate with Program Directors and staff regarding missing or incomplete data.

• Serve as liaison with database consultants to troubleshoot and resolve system issues.

• Maintain confidentiality of student records in accordance with FERPA and CSU policies.

Reporting and Compliance Support — 30% • Generate weekly and monthly reports to track program performance and outcomes.

• Assist in compiling and preparing data for quarterly and annual reports, including the CSAC Annual Program Plan.

• Support the preparation of quarterly in-kind match reports.

• Provide data summaries and analysis for Governing Board meetings and internal program review.

• Ensure timely submission of required program reports and documentation.

Administrative and Operational Support — 20%

• Meet regularly with program staff to provide updates on reporting timelines and data requirements.

• Host weekly office hours to assist Program Managers and Student Success Coaches with data entry procedures and reporting questions.

• Coordinate and maintain organized electronic and physical files.

• Support general administrative operations of the Cal-SOAP office.

• Perform other duties as assigned in support of program objectives.

Results and Outputs

The incumbent is expected to produce the following measurable outcomes:

• Accurate and timely weekly data entry into the LACAI database.

• Completion of required weekly, monthly, quarterly, and annual reports within established deadlines.

• Reliable data reports used for CSAC compliance, in-kind match documentation, and Governing Board review.

• Improved data accuracy and completeness across program sites.

• Organized and secured maintenance of confidential student and program records.

• Clear communication and guidance provided to program staff regarding reporting requirements.

• Identification and resolution of database or reporting discrepancies in collaboration with program leadership.

Knowledge, Skills, and Abilities

• Working knowledge of standard office procedures and administrative practices.

• Ability to organize and coordinate administrative workflow and meet deadlines.

• Strong attention to detail and data accuracy.

• Ability to compile, generate, and interpret reports using database systems and spreadsheets.

• Proficiency in Microsoft Office Suite (Excel, Word) and database systems.

• Ability to maintain confidentiality of sensitive information.

• Strong written and verbal communication skills.

• Ability to work independently and collaboratively in a team-oriented environment.

• Ability to prioritize multiple assignments in a fast-paced setting.

Minimum Qualifications

• High school diploma or equivalent.

• Minimum of one (1) to three (3) years of progressively responsible clerical or administrative support experience.

• Demonstrated experience with data entry, recordkeeping, and report preparation.

Preferred Qualifications

• Experience supporting grant-funded or educational access programs.

• Knowledge of college access programs and student data reporting requirements.

• Experience with database management systems.

• Bilingual in English and Spanish.

Experience analyzing program data to support reporting and compliance.

The incumbent must demonstrate an interest or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the UAS.
