About the role:

The Quality & Compliance Project Coordinator plays a critical role in supporting Divcon’s Quality Operations by managing enterprise documentation control, coordinating administrative processes, and supporting ISO 9001 implementation. This position enhances regulatory compliance, efficiency, data accuracy, and operational readiness as the company scales.

Working collaboratively with Quality Managers, Safety Leadership, Manufacturing, and Supply Chain, the Coordinator ensures that quality workflows run smoothly, and essential information is accurately captured and maintained in core systems.

Key Responsibilities:

Quality Management System

  • Maintain controlled documents including SOPs, work instructions, forms, policies, quality manuals, and engineering standards.
  • Administer document revision control and approval workflows.
  • Maintain the Master Document Register.
  • Coordinate document distribution across all departments.
  • Ensure obsolete documents are removed from circulation.
  • Support implementation and maintenance of ISO 9001 Quality Management System.

Compliance Coordination

  • Track regulatory and customer compliance requirements.
  • Coordinate compliance activities associated with:
    • ISO 9001
    • UL 508A
    • OSHA
    • Customer quality requirements
    • Internal company policies
  • Assist with preparation for customer audits and certification audits.
  • Coordinate responses to audit findings.
  • Maintain compliance calendars and action item tracking.

Project Coordination

  • Coordinate enterprise quality and safety improvement initiatives.
  • Assist with implementation of new quality processes.
  • Support cross-functional project teams.
  • Track project milestones.
  • Maintain project documentation.
  • Coordinate recurring quality and safety meetings and action items.

Training Administration

  • Coordinate quality, safety and compliance training.
  • Maintain employee quality and safety training matrices.
  • Track certifications and qualification records.
  • Coordinate ISO, quality, safety, and compliance training sessions.
  • Ensure training records remain audit ready.

Qualifications:

Experience

  • 3–5 years in Business, Quality, Compliance, Project Coordination, Manufacturing Administration, Construction Administration, or Operations Support.
  • Experience supporting document control systems.
  • Experience coordinating multiple projects simultaneously.
  • Experience maintaining confidential business records.
  • Experience working in Microsoft Office Suite.

Physical Requirements:

  • Sit for extended periods (typically 6-8 hours per day) while performing computer-based tasks such as data entry, email responses, system updates, etc.
  • Use hands and fingers to operate standard office equipment, including computers, keyboards, mice, telephones, scanners, printers, and calculators.
  • Occasionally stand, walk, bend, stoop, or reach to access filing cabinets, retrieve documents, or attend meetings.
  • Lift, carry, push, or pull light objects and materials weighing up to 20-25 pounds (e.g., boxes of files, PPE, office supplies).
  • Have sufficient vision (with or without correction) to read computer screens, printed documents, and small print; and sufficient hearing to communicate effectively by phone and in person.
  • Work in a typical indoor office environment with moderate noise levels from office equipment, conversations, and occasional interruptions.
