Position Overview
We are seeking a detail-oriented and organized Accounts Receivable Associate to join our finance team. This vital role involves managing the accounts receivable process, ensuring accurate and timely invoicing, payment collection, and customer account reconciliation. The Accounts Receivable Associate will also serve as the first point of contact for the company by answering incoming calls and directing them to the appropriate personnel. This position requires close collaboration with customers, internal departments, and the finance team to maintain accurate financial records and support the company’s operational efficiency. Successful candidates will excel in a fast-paced environment, demonstrating strong communication, organizational, and customer service skills while upholding financial standards.
Key Responsibilities
- Invoicing and Billing: Prepare, verify, and issue accurate invoices to customers, ensuring compliance with company policies and customer agreements.
- Payment Collection: Monitor customer accounts, follow up on overdue payments, and coordinate with customers to ensure timely collections.
- Call Management: Answer and screen incoming company calls, directing them to appropriate personnel or providing information as needed to ensure efficient communication.
- Account Reconciliation: Maintain and reconcile customer accounts, resolve discrepancies, and ensure accurate records.
- Customer Communication: Interact with customers to address inquiries, resolve billing issues, and maintain positive relationships.
- Financial Reporting: Assist in preparing accounts receivable reports, such as aging reports, to support month-end closing and financial audits.
- Compliance: Adhere to internal controls, company policies, and applicable financial regulations to ensure accuracy and integrity in all accounts receivable activities.
Qualifications & Requirements
- Language Skills: Excellent verbal and written communication skills to interact effectively with customers, coworkers, and management.
- Technical Skills:
- Proficiency in accounting software (e.g., QuickBooks, SAP, or similar) and Microsoft Office Suite, particularly Excel.
- Basic understanding of accounting principles and accounts receivable processes.
- Customer Service: Strong interpersonal skills to manage customer inquiries and phone communications professionally and efficiently.
- Attention to Detail: Ability to accurately manage large volumes of data and identify discrepancies in financial records.
- Organizational Skills: Strong ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Experience: 1+ years of experience in accounts receivable, customer service, or a related financial role is preferred.
- Education: High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or a related field is a plus, but not necessary.
- Work Environment: Comfortable working in an office setting with frequent phone and computer use.
