The Opportunity

The Senior Officer, Stewardship & Operations works as an integral member of the Development team to lead the behind-the-scenes project management of high value donor recognition, customized impact reporting, bespoke communications planning and operational activities in support of the Development teams’ stewardship and engagement objectives, in a manner consistent with UNICEF Canada’s mission and vision.

This role reports to the VP of Development, and will primarily be focused on the content creation, reporting and operations elements that support the engagement and retention of high value donors, partners and prospects. The role provides frequent opportunities to facilitate the planning and implementation of impactful stewardship strategies across teams and support the development team in identifying opportunities to steward high-value partnerships and relationships and ensuring the proper tracking and analysis in support of growing a meaningful stewardship program.

The Senior Officer, Stewardship & Operations leads the planning, development and execution of UNICEF Canada’s high-value donor stewardship program, with a primary focus on compelling content creation, reporting, and cross-functional delivery.

This role serves as the central owner of stewardship content and execution, working closely with relationship managers to bring donor strategies to life through high-quality reports, communications, and experiences that strengthen engagement and retention. Reporting to the VP, Development, this role requires a highly skilled writer, visual storyteller, and project manager, with the ability to translate complex programmatic impact into clear, engaging donor-facing materials.

Key Accountabilities

The responsibilities of the position will include (but are not limited to):

Donor Reporting & Content (60%)

Initiate and maintain stewardship plans for high value Donors to UNICEF Canada for Major, Corporate and Community donors
Liaise with internal teams and global teams to deliver high quality stewardship activities for donors including all external communications in support of relationship-building by team members
For UNICEF Canada’s Women UNlimited program, this role will coordinate and draft quarterly Women Unlimited communications updates, spontaneous stewardship, attend monthly working group meetings, and lead annual impact reporting.
Lead the creation of compelling donor materials by combining strong writing and design skills to develop visually engaging impact reports, stewardship and communications pieces that clearly and persuasively convey progress and results
Stay current with design tools, and content trends to produce high-impact reports and storytelling assets that resonate with diverse donor and partner audiences
Lead and execute mailings (i.e. Annual Report, holiday messages, pledge payment reminders, thank you letters) and designed, custom impact report distribution with video content and messaging as appropriate.
Manage centralization of stewardship content, reporting and communications resources for the Development Team
Proactively identify meaningful communications opportunities for supporters that support the Development team’s goals, fundraising initiatives or organizational priorities.
Manage the development of templates, content and collateral for ongoing stewardship activities
Maintain an up-to-date and deep knowledge of UNICEF’s work, leadership and content resources (in Canada and UNICEF global) as well as industry best practices in communications and stewardship, especially as it relates to identifying opportunities to communicate to supporter audiences.
Support for donor stewardship events and activities as needed

Stewardship Strategy (20%)

Identify opportunities to evolve and grow our stewardship, reporting and communications processes and resources in order to continuously improve donor/partner satisfaction and enhance their relationship with UNICEF Canada.
Work with Communications team to identify opportunities to strategically recognize and profile high value donors and partners through various channels in line with donor interests while leveraging key UNICEF moments and milestones.
Lead stewardship planning and recognition initiatives to support Women UNlimited member engagement and retention, and strategically leverage key moments to promote the fund when and where appropriate
Support relationship managers to provide insights and recommendations for best practices to cultivate, recognize, engage and retain partners/donors
Identify opportunities for process improvements and efficiencies and collaborate across internal teams to implement while ensuring that fundraising activities and operational requirements and business rules are aligned.

Project Management and Operations (20%)

Create and implement cross-functional project plans, workback schedules, tracking and tools to support the team’s ability to manage delivery of stewardship and reporting requirements on schedule through Asana and other organizational tools
Maintain positive relationships with relationship/partnership managers and collaborative partners across teams to facilitate the creation and delivery of stewardship materials in a timely manner.
Proactively input, monitor and prompt key stewardship and engagement activities ensuring we are achieving key milestones such as timely delivery of thank you letters, reporting and recognition and others as outlined in the benefits matrix and partnership agreements.
Support UNICEF Canada’s giving circles, with quarterly update communications and the planning of annual granting and reporting symposium for Women UNlimited (in person, virtual and hybrid) in collaboration with International Programs team members and Relationship Managers
Manage documentation and maintain up to date records in CRM and SharePoint around gift renewal, pledge payment schedules, gift agreements and invoice administration in coordination with Relationship Managers and the Director and VP of Development.Conduct regular reviews of stewardship requirements for donors with team members and adjust plans as needed; attend and contribute to team meetings
Manage and track required documentation and partnership agreements such as legal agreements, contracts & donor commitments, ensuring they are up to date
Review weekly gift report for proper gift acknowledgments at the Executive level where required
Ensure all reporting and stewardship activities are captured in Raiser’s Edge and support the Development Team with RE administration as needed.
Provide insight and recommendations to the development and implementation of annual operating plans, collaborating with Directors and program managers on annual budgets/resourcing, program reviews and progress.

Qualifications, Competencies & Skills

A post secondary degree, diploma or equivalent years’ work experience with a focus in communications, fundraising or other related discipline.
A minimum of three (3) plus years’ related work experience
Results-driven with the ability to work in a fast-paced environment, prioritize and multi-task, while being organized, detail-oriented, with strong follow through.
Proven ability to collaborate with internal stakeholders at all levels and ability to coordinate complex projects across teams along with customer service skills; sound judgement and risk management.
Demonstrates strong understanding of what donors are looking for and industry best practice and provides a supporter-centric approach to their work.
Superior verbal and written communication skills, with proven ability to create clear, compelling and visually engaging donor communications and impact reports
Strong proficiency in developing donor-facing materials end to end from concept and messaging to layout and design
Excellent computer skills and in-depth knowledge of programs like Microsoft Office, Raiser’s Edge (and/or other fundraising, relational databases)
Design experience with Canva, InDesign or related creative software (an asset)
English/French bilingualism (an asset)
Experience with Asana or other similar project management tools (an asset)
Comfortable with occasional flexible hours to accommodate time differences, evening/ weekend events, donor support or organizational resource management.
