POSITION SUMMARY
The Project Manager is the central coordinator between 1Vision’s clients and internal production teams, responsible for managing the lifecycle of print, direct mail, fulfillment, and marketing services projects from order intake through final delivery. This role requires a detail-oriented professional who can manage multiple concurrent projects across departments—including prepress, offset and digital press, bindery, mailing, data processing, wide format, and shipping—while maintaining quality standards, meeting deadlines, and ensuring client satisfaction. The Project Manager enters and tracks jobs through the EPS Monarch production management system, coordinates with estimating on pricing and specifications, and communicates job status to clients proactively throughout the production process.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to, the following:
- Serve as the primary point of contact for assigned client accounts, managing all aspects of project communication, scheduling, and delivery expectations.
- Receive client orders and job specifications; enter and maintain accurate job tickets in the EPS Monarch management information system, including materials, quantities, finishing, mailing, and shipping instructions.
- Coordinate with Estimating to develop accurate job estimates and quotes; communicate pricing and turnaround times to clients for approval before production begins.
- Create and manage production schedules in coordination with department supervisors across prepress (Heidelberg Prinect), press (offset and digital), bindery, mailing, data processing, wide format, and fulfillment departments.
- Review client-supplied files and coordinate with the PreMedia team to ensure files meet production specifications; manage proof approval workflows with clients.
- Monitor job progress through all production stages using EPS Monarch and EPS PrintStream; proactively identify and resolve scheduling conflicts, quality issues, or material shortages.
- Coordinate mailing projects with the Mailing and Data Processing teams, ensuring compliance with USPS postal regulations, proper Mail.dat file generation, and timely mail entry.
- Manage shipping logistics and delivery coordination, ensuring jobs are shipped on time and to the correct destinations; coordinate with the shipping/warehouse team and outside carriers.
- Communicate job status updates to clients regularly; manage client expectations regarding timelines, proofs, revisions, and delivery schedules.
- Process job changes, revisions, and additional charges; update job tickets and communicate changes to affected production departments promptly.
- Maintain organized electronic and physical job files, including purchase orders, proofs, client communications, and production documentation.
- Identify and escalate potential quality, scheduling, or budget issues to management before they impact client deliverables.
- Collaborate with the sales team to support client retention, identify upsell opportunities, and participate in client presentations when requested.
- Utilize 1Vision’s custom fulfillment portal and client-facing platforms to manage inventory, reorders, and fulfillment projects for clients with ongoing programs.
- Perform other duties as assigned by management.
SUPERVISORY RESPONSIBILITIES
- This position has no direct supervisory responsibilities.
- May provide guidance and work direction to junior project coordinators or project management interns.
MINIMUM QUALIFICATIONS
Education
High school diploma or GED is required.
Associate’s or Bachelor’s degree in Business, Communications, Graphic Arts, Print Management, or a related field is preferred.
Experience
Minimum of 2 years of project management or customer service experience in a commercial printing, direct mail, or related production environment.
Experience with print production management information systems (MIS) such as EPS Monarch, EFI Pace, or similar is strongly preferred.
Demonstrated experience managing multiple concurrent projects with competing deadlines.
Familiarity with print production processes (offset, digital, wide format, bindery, mailing) and related terminology.
Knowledge, Skills, and Abilities
Strong understanding of commercial print production workflows, including prepress, press, bindery, mailing, fulfillment, and shipping operations.
Working knowledge of USPS mailing regulations, postal classes, and direct mail requirements.
Proficiency in print MIS/ERP systems (EPS Monarch, PrintStream) and Microsoft Office Suite (Excel, Outlook, Word, Teams).
Excellent organizational and time management skills with the ability to prioritize and manage multiple projects simultaneously.
Strong written and verbal communication skills with the ability to interact professionally with clients and internal teams at all levels.
Detail-oriented with strong problem-solving abilities and a proactive approach to identifying and resolving issues.
Ability to read and interpret job specifications, proofs, paper dummies, and production layouts.
Comfortable working in a fast-paced, deadline-driven production environment.
Basic understanding of file formats (PDF, TIFF, EPS, InDesign) and prepress requirements.
Certifications and Other Requirements
Valid driver’s license and ability to travel between company locations as needed.
