About This Position
· Serves as receptionist for the Office of Human Resources; represents the department and College to employees and community members
· Coordinates Assessment test for new hires and college employees
· Support and assist in new employee intakes · Handle front desk workload based on knowledge of demands and established timelines
· Initiates communication with other departments in carrying out tasks and resolving workflow or problems presented by employees and the public
· Ability to have positive contact with outside agencies in carrying out tasks, including verifications of employment, etc.
· Initiates recommendations for change in operating methods to administrators
· Performs activities related to office procedures, including:
- Answering main Human Resources telephone line and electronic mailbox
- Assembling full-time new hire packets and maintaining files
- Compiling and maintaining reports and records of the activities relating to the front desk operation
- Properly directing employees and the public
- Handling and distributing mail and routing documents
- Distributing applications for employment and related materials
- Assisting employees and the public with access to the HR portion of the Macomb internet and intranet
- Responding to requests for verification of employment
- Ordering office supplies
- Review invoices for accuracy and request payment
- Responsible for coordination of rooms and food setup for HR meetings and other projects
· Assists the Human Resources’ team for the service award events which includes the processing of the books and the events
· Ability to learn and use Colleague and Microsoft Office programs including but not limited to Word, Excel and Outlook. May be required to learn and use other software required by the department
· Sets own work priorities based on the supervisor’s direction or established timelines and practices
· May coordinate the work of part-time staff as assigned
· Must be able to work under pressure and within tight deadlines
· Must be flexible and adjust to changes in daily activities.
· Works collaboratively with other staff and administrators to ensure projects are completed
· Other duties as assigned
An Associate degree.
Two years’ related experience in an office environment.
Previous experience in unionized, higher education or public-sector environment is preferred.
